Position Title Festival Coordinator / Executive Director Assistant Position Type Full-Time | Hybrid (Knoxville Metropolitan Area with some remote work flexibility) Position Summary The Festival Coordinator / Executive Director Assistant plays a key role in supporting the Executive Director and coordinating the planning, promotion, and execution of the annual Knox Asian Festival and other cultural programs throughout the year. This position requires excellent organizational skills, strong communication abilities, and the capacity to manage multiple projects simultaneously. The successful candidate will work closely with staff, volunteers, sponsors, vendors, performers, community partners, and government agencies to ensure the successful delivery of high-quality cultural events and educational programs. Key ResponsibilitiesExecutive Director Support Assist the Executive Director with daily operations and administrative tasks. Manage calendars, schedules, meetings, and correspondence. Prepare reports, presentations, grant materials, and meeting documents. Support sponsor, partner, and community relations. Assist with data collection, record keeping, and program evaluation. Festival & Event Coordination Coordinate planning and logistics for the Knox Asian Festival and other cultural events. Manage vendor, performer, sponsor, and volunteer communications. Assist with event scheduling, site planning, and operational logistics. Coordinate permits, contracts, registrations, and event documentation. Support event setup, operations, and breakdown activities. Marketing & Communications Assist with social media management and event promotion. Create and distribute marketing materials, newsletters, and event announcements. Update website content and event information. Engage with community partners and media outlets to promote programs and events. Project Management Track project timelines, budgets, and deliverables. Coordinate meetings and follow-up actions among stakeholders. Maintain organized records and project documentation. Support grant-funded programs and reporting requirements. Community Engagement Build positive relationships with volunteers, sponsors, community organizations, and cultural groups. Represent ACCTN at community meetings and outreach events. Support educational and cultural programming throughout the year. Qualifications Strong verbal, written, and interpersonal communication skills. Experience in event planning, festival coordination, or project management. Strong organizational skills with exceptional attention to detail. Ability to manage multiple projects and deadlines simultaneously. Experience with social media marketing and digital communications. Proficiency in Microsoft Office, Google Workspace, and online event management platforms. Ability to work independently and collaboratively in a team environment. Willingness to work evenings and weekends during events and festivals. Experience in nonprofit organizations, cultural programming, or community engagement is preferred. Bachelor's degree in Event Management, Communications, Marketing, Nonprofit Management, or a related field preferred. Preferred Skills Volunteer management experience. Grant administration and reporting experience. Graphic design and content creation skills. Familiarity with Eventbrite, Canva, Asana, or similar platforms.
