This is a hybrid role — part sales ops, part executive assistant, part "whatever the business needs today." You'll own the day-to-day work that keeps our sales pipeline moving and our founder focused on strategy and relationships. This is not a cold-calling role. You'll be working with warm inbound leads, existing prospects, and supporting the sales team — not making outbound prospecting calls." What You'll Do Sales Operations Follow up with inbound leads and prospects in a timely, professional manner Schedule discovery calls, demos, and follow-up meetings Draft sales proposals and quotes using our templates and tools Prepare customer contracts and service agreements for review and signature Maintain accurate lead and opportunity records in HubSpot CRM Support trade show preparation and travel quarterly to industry conferences (HCAM, OHCA, and others), including booth setup, lead capture, and on-site support Executive & Operational Support Manage the founder's calendar, scheduling, and correspondence Coordinate personal scheduling and appointments Handle vendor communications and operational follow-ups Provide as-needed support reviewing contracts, insurance policies, and other business documents Jump in on special projects and "all hands on deck" moments as the business demands Flexibility & Startup Mindset Maintain a flexible schedule with evening or weekend responsiveness for time-sensitive sales opportunities May assist with large customer installations, hardware deployments, or site surveys when the team is at capacity Comfort with the reality that startup priorities shift — some weeks you're heads-down on proposals, other weeks you're on the road or pitching in wherever needed What We're Looking For 2+ years of experience in sales operations, executive assistant, office manager, or similar role Strong organizational skills and exceptional attention to detail, especially with contracts, pricing, and customer-facing documents Genuine tech proficiency — you're comfortable with Excel (including VLOOKUP, pivot tables, and basic formulas), CRM platforms (HubSpot a plus), and learning new tools quickly Excellent written and verbal communication skills Ability to work independently, prioritize across competing demands, and follow through without being chased Willingness to travel to trade shows and customer sites as needed Comfortable in an in-office, collaborative environment (this is a full-time, in-office role in Southfield, MI) Bonus:
