This role centers on keeping the attorney's practice running smoothly day-to-day. The assistant acts as the primary administrative backbone of the office, ensuring deadlines, client communication, and case logistics stay tightly organized.
Key Responsibilities:
Client intake and relationship management
- Conduct initial screenings, gather case details, schedule consultations, and maintain a calm, personable and polished impression of the firm. Maintain ongoing communication, manage follow-ups, send updates, and ensure clients feel supported throughout their case. Calendar and deadline control
- Manage scheduling, filing deadlines, court appearances, and reminders using legal calendaring systems. Case file management
- Build and maintain digital and physical case files, track case progress, and ensure all materials are up to date. Client intake
- Conduct initial screenings, gather case details, schedule consultations, and maintain a polished first impression of the firm. Communication liaison
- Service as a point of contact for clients, opposing counsel, and courts; triage messages and maintain professional communication. Court filing support
- Prepare, proofread, and e-file pleadings in state and federal courts. Discovery coordination
- Assist with document production, manage incoming discovery, track deadlines, and communicate with clients about required materials. Document preparation
- Draft correspondence, format and proofread pleadings, prepare exhibits, and ensure accuracy and compliance with court rules. Office administration
- Manage billing process, enter time slips, preparing invoice and billing statements, and tracking account payments, including retainers.
Ensure renewals and office services are up-to-date and timely.
Requirements:
2+ years' experience working in a litigation practice. Excellent organizational skills; strong attention to detail and strong proofreading skills. Excellent written and verbal communication skills. Experience and professionalism conducting client intakes. Ability to prioritize tasks, remaining flexible and adapting to changing needs. Must have a strong work ethic for quality output in a fast-paced environment and the ability to work independently and collaboratively with a solo practitioner. Proficiency in Microsoft Word, Excel and Adobe Acrobat. Familiarity with TimeSlips billing software a plus. Pay is commensurate with experience.
