Executive Assistant:

  • Work directly with leadership, physicians, operational teams, and international partners to help shape the future of global healthcare delivery.

  • Develop expertise in executive leadership support, global operations, project management, strategic communications, international partnerships, and nonprofit healthcare administration while working alongside experienced healthcare leaders. Key Responsibilities Executive Leadership Support
  • Manage calendars involving domestic and international meetings across multiple time zones.
  • Coordinate travel, mission trips, conferences, board meetings, leadership retreats, and partner visits.
  • Prepare agendas, executive briefings, presentations, reports, meeting minutes, and follow-up communications.
  • Screen, prioritize, and coordinate communications on behalf of leadership.
  • Manage expense reporting, travel logistics, and executive correspondence. Project Management & Strategic Coordination
  • Coordinate strategic initiatives supporting Sanford World Clinic's global operations and partnerships.
  • Track project timelines, deliverables, and executive action items to ensure organizational priorities remain on schedule.
  • Facilitate collaboration across Sanford departments, international clinic teams, healthcare partners, researchers, and government stakeholders.
  • Support leadership meetings by documenting decisions, monitoring progress, and ensuring accountability. Communication & Relationship Management
  • Draft and edit communications, presentations, newsletters, board materials, and reports.
  • Serve as a professional liaison between executive leadership and internal teams, physicians, donors, government officials, healthcare organizations, and international partners.
  • Foster positive working relationships while maintaining exceptional customer service and professionalism.
  • Represent the team with integrity, diplomacy, and discretion. Information & Administrative Management
  • Maintain confidential information with the utmost discretion.
  • Develop dashboards, reports, spreadsheets, and presentation materials to support strategic decision-making.
  • Organize electronic records, governance documents, contracts, and project files. Operational Excellence
  • Identify opportunities to improve workflows, communication, and administrative processes.
  • Anticipate executive needs and proactively resolve challenges before they become barriers.
  • Exercise sound judgment in handling routine and complex administrative issues.

  • Job Summary
  • Coordinates administrative and support functions for one the VP of Operations as well as the whole Sanford World Clinic team.
Supports one or more upper management personnel for all administrative needs. Scheduling meetings and making travel arrangements. Creating and developing visual presentations for management. Maintaining confidential and non-routine information and acting as project manager for special projects pertaining to the team. Developing reports and composing and editing correspondence, as well as interfacing effectively with all levels of personnel. Ability to establish and maintain effective working relationships with management, other employees and the public. Ability to identify problems and recommend solutions. Ability to establish priorities and coordinate work activities. Ability to react calmly and effectively in stressful working situations. The ability to anticipate the needs of your superiors before they ask for them is a great asset.
  • Qualifications
  • Associate degree in a secretarial or related field or equivalent three years Administrative Assistant work experience is required.
