Job Description

We are looking for a dependable, detail-driven Administrative Assistant to support the president and help keep daily business operations running smoothly. This position is ideal for someone who is organized, professional, proactive, and comfortable managing a wide range of administrative responsibilities. A key part of this role will involve supporting the business in many ways. This includes tracking client updates, maintaining Excel reports f, following up with vendores to ensure reports are submitted on time, assisting with file uploads into the database, and preparing monthly customer reports. The right person for this position will be resourceful, confidential, customer-focused, and able to stay ahead of deadlines in a busy environment. Responsibilities Manage the President calendar, appointments, and scheduling priorities Coordinate meetings, internal communications, and follow-up items Help manage emails, correspondence, and communications on behalf of leadership Track client activity and provide timely updates Maintain Excel reports related to clients and activity Send reminders to adjusters to ensure reports are completed and submitted on time Assist with uploading documents and files into the database Prepare monthly reports for customers Arrange occasional travel plans, accommodations, and itineraries Conduct research and prepare summaries, reports, and documentation related to business activities Assist with presentations, meeting materials, and other business documents Serve as a key contact for vendors and provide professional customer service Answer phones and assist with general office support needs Handle confidential information with professionalism and discretion Prioritize tasks and help ensure the office operates efficiently each day Qualifications Strong written and verbal communication skills Excellent organizational skills and the ability to manage multiple priorities Proficiency with Microsoft 365, including Outlook, Word, and Excel Strong Excel skills, including the ability to maintain reports and organize data Ability to problem-solve, take initiative, and work independently Professional, flexible, and resourceful approach to daily work High level of integrity and discretion when working with confidential information Ability to anticipate needs and follow through on details Insurance or reinsurance industry knowledge is helpful, but not required Relevant education, qualifications, and industry experience will be considered
Pay:
$40,000.00 - $80,000.00 per year
