We take pride in doing business differently—building lasting relationships, paying attention to the details, and treating customers the way we'd want to be treated. As our business continues to grow, we're looking for an exceptional individual to work directly alongside the owner and play an important role in keeping our dealership organized, efficient, and running smoothly. About the Position We're seeking a highly organized, dependable, and proactive Executive Assistant & Operations Coordinator to serve as the owner's right-hand person. This is much more than a traditional administrative or receptionist position. We're looking for someone who takes initiative, anticipates needs, solves problems, and follows through without requiring constant direction. You'll work closely with the owner, supporting administrative functions, customer communications, scheduling, bookkeeping, and daily dealership coordination. The ideal candidate enjoys variety, thrives in a small-business environment, and takes genuine satisfaction in bringing organization and efficiency to a busy workplace.
Our goal is simple:
Find someone we can trust to take ownership of responsibilities, manage the details, and help us continue building a successful business. Key ResponsibilitiesExecutive & Administrative Support Manage schedules, appointments, calendars, and reminders. Organize emails, correspondence, and follow-up communications. Maintain accurate business records, documents, and files. Assist with travel arrangements, errands, and special projects as needed. Track assignments, deadlines, and outstanding tasks to ensure timely completion. Help the owner stay organized and focused on business priorities. Dealership Operations Assist with coordinating daily dealership activities and priorities. Communicate with employees, vendors, and service providers. Maintain inventory records, vehicle documentation, and purchasing paperwork. Monitor task management systems and follow up on outstanding assignments. Help develop and maintain efficient office procedures and workflows. Identify opportunities to improve organization and operational efficiency. Customer Relations Answer incoming calls and respond professionally to customer inquiries. Schedule customer appointments, service visits, and vehicle deliveries. Follow up with prospective buyers and existing customers. Assist with customer paperwork and transaction documentation. Help ensure every customer receives a professional, welcoming, and personalized experience. Bookkeeping & Business Administration Assist with QuickBooks entries, invoices, receipts, and expense tracking. Organize vendor bills, purchase records, and payment documentation. Help prepare basic financial and operational reports. Maintain accurate records and coordinate with outside accounting professionals. Assist with other general administrative and business support functions. Qualifications Required Exceptional organizational and time-management skills. Strong written and verbal communication abilities. Proficiency with computers, email, spreadsheets, and office applications. Ability to quickly learn new software and business management systems. Strong attention to detail and consistent follow-through. Ability to independently prioritize tasks and manage competing responsibilities. Professional demeanor, sound judgment, and a customer-focused attitude. Dependability, integrity, and discretion when handling confidential information. Preferred 2+ years of experience in administrative support, executive assistance, office management, or business operations. Experience with QuickBooks or similar accounting software. Familiarity with Google Workspace, Microsoft Office, and task management platforms. Experience in an automotive dealership, service business, or independently owned company. Familiarity with inventory management or customer relationship management systems. Motorcycle knowledge is a plus, but absolutely not required. Who We're Looking For We believe attitude, initiative, and work ethic are just as important as experience. You'll likely be an excellent fit if you: Naturally bring organization and structure to busy environments. Take initiative rather than waiting to be told what to do. Enjoy managing details, completing tasks, and seeing projects through. Have a strong sense of personal responsibility and accountability. Communicate confidently and professionally with different personalities. Remain calm, focused, and productive when priorities change. Are comfortable working directly with a business owner. Recognize problems and actively look for solutions. Take pride in accuracy, efficiency, and doing things correctly. We're not looking for someone who simply completes assigned tasks. We're looking for someone who recognizes what needs attention, takes ownership, and follows through. What We Offer Competitive hourly pay of $21.00-$26.00, based on experience. Consistent part-time schedule of approximately 25-30 hours per week. Opportunity to grow into a full-time position as the business expands. Direct involvement in the operations and growth of an independently owned business. Friendly, professional, and entrepreneurial work environment. Meaningful responsibilities with the opportunity to make a measurable impact. A position where initiative, ideas, and contributions are genuinely valued. How to Apply Please submit your resume through Indeed, along with a brief explanation of why you believe you'd be a good fit for this position. We're particularly interested in individuals who can demonstrate strong organizational abilities, dependability, independent problem-solving, and a history of successfully managing multiple responsibilities.
