This role is centered on supporting the individual behind the operations , ensuring seamless execution across business, administrative, and personal responsibilities. This is an exciting opportunity to work in a fast-paced, high-performance environment , where your ability to anticipate needs, manage complex schedules, and execute tasks efficiently will have a direct impact on business success. The ideal candidate thrives under pressure, adapts quickly, and is comfortable handling a wide range of responsibilities with professionalism, discretion, and urgency. This is not a traditional assistant role —it is a hands-on, high-trust position supporting a leader managing multiple companies. All-expense-paid travel required (up to 3 times per month) Must be available for weekends, overnight stays, and flexible scheduling Responsibilities Manage and maintain detailed calendars using Microsoft Outlook and Google Workspace, coordinating meetings, appointments, and priorities across multiple businesses. Coordinate travel arrangements including flights, accommodations, transportation, and detailed itineraries; travel alongside the Managing Partner when required. Provide high-level executive and personal administrative support, including handling correspondence, drafting communications, and managing day-to-day priorities. Serve as a central point of coordination across multiple companies, ensuring tasks, deadlines, and communications are aligned and executed efficiently. Assist with client communication, onboarding, follow-ups, and maintaining organized records of all interactions and documentation. Support business operations by organizing digital and physical files, assisting with tax-related workflows, and ensuring internal systems are up to date. Track outstanding invoices, follow up on payments (email and phone), and assist with basic financial and administrative reporting. Execute daily social media posting across multiple platforms (TikTok, Instagram, Facebook, LinkedIn), including scheduling and basic content coordination. Organize and support project coordination efforts, ensuring deadlines are met and leadership remains informed on progress. Handle incoming calls and communications with professionalism, managing inquiries and directing information appropriately. Perform clerical and administrative tasks such as data entry, document management, proofreading, and maintaining organized filing systems. Maintain strict confidentiality of sensitive business and personal information at all times. Anticipate needs, solve problems proactively, and ensure the Managing Partner can operate at a high level without disruption. Qualifications Proven experience as an Executive Personal Assistant, Personal Assistant, or in a similar high-level administrative role. Strong organizational and time management skills with the ability to prioritize effectively in a fast-paced, multi-business environment. Ability to handle multiple responsibilities simultaneously while maintaining accuracy, efficiency, and attention to detail. Excellent written and verbal communication skills with a high level of professionalism. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and general office systems; ability to quickly learn new tools. Experience coordinating schedules, travel, and projects across multiple priorities. Comfortable with flexible hours, travel requirements, and changing daily demands. Strong problem-solving skills with the ability to think ahead and act without constant direction. High level of discretion and ability to handle confidential information. Experience supporting an entrepreneur, business owner, or multi-company environment is strongly preferred.
