Position Summary:
This Executive Assistant role provides high-level administrative support to the Chief and other corporate leaders. You will be a key member of the team, handling a variety of tasks including calendar management, travel coordination, expense reporting, and document preparation. Your work will ensure the smooth operation of day-to-day activities and help the leadership team focus on strategic priorities.
Responsibilities:
Provide comprehensive administrative support to executives. Build strong, collaborative relationships with executives and their assistants across the organization. Prepare, review, and distribute executive correspondence and documents, including reports, presentations, policies, procedures, and contracts. Manage and maintain daily calendars and schedules via Microsoft Outlook. Uphold the highest level of confidentiality and provide timely updates to the executive team. Coordinate logistics for on-site and off-site meetings and conferences, including travel, itineraries, and support materials. Process and submit travel expense reports for timely reimbursement. Assist other departments as needed to cover absences or heavy workloads.
Education & Experience:
Associate's degree or high school diploma required; Bachelor's degree preferred. 5+ years of experience as an executive assistant, preferably supporting C-suite executives. Strong judgment and ability to maintain confidentiality.
Knowledge, Skills & Abilities:
Exceptional organizational and time-management skills; able to prioritize tasks effectively. Strong oral and written communication skills. Ability to interpret and apply guidelines and procedures independently. Professional demeanor with the ability to build positive working relationships.
