This highly visible role serves as a trusted partner to executive leadership and requires extensive interaction with Corporate and Operating Division teams. The ideal candidate will excel at managing complex calendars, meetings, executive communications, strategic initiatives and travel while anticipating business needs in a fast-paced environment. In addition to providing exceptional administrative support, this individual will develop executive-level presentations and reports by transforming concepts, business data, and insights into polished materials for leadership and Board-level audiences. Success in this role requires strong business acumen, advanced PowerPoint and Excel skills, exceptional attention to detail, sound judgment, and the ability to manage multiple priorities with professionalism, discretion, and confidentiality. How You Will Make an Impact Executive Support & Business Partnership Serve as a trusted partner to the Chief Human Resources Officer and VP of Strategy, proactively managing priorities, anticipating needs, and ensuring efficient execution of business objectives. Manage complex executive calendars, travel arrangements, meeting logistics, and competing priorities while ensuring alignment with strategic initiatives. Exercise exceptional judgment, discretion, and confidentiality when handling sensitive business information, executive communications, and organizational matters. Executive Communications & Presentation Development Create executive-level presentations, board materials, business reviews, and leadership communications by transforming concepts, data, and insights into polished, visually compelling content. Develop charts, graphs, dashboards, and data visualizations using Excel and PowerPoint while ensuring consistency in formatting, branding, messaging, and overall presentation quality. Conduct research, gather information, and prepare reports, analyses, and briefing materials to support executive decision-making. Strategic Projects & Initiative Coordination Coordinate and support executive-led projects and business initiatives by identifying key stakeholders, gathering information, tracking milestones and action items, and ensuring timely execution of deliverables. Act as a liaison across corporate and operating division teams to facilitate communication, drive follow-up activities, and ensure alignment on priorities and objectives. Independently manage special assignments and projects, proactively identifying issues, recommending solutions, and driving work forward with minimal direction. Meeting & Board Support Coordinate executive leadership meetings, strategic planning sessions, operational reviews, and Board-related activities, ensuring all materials, stakeholders, and logistics are prepared in advance. Anticipate meeting requirements by proactively securing information, preparing agendas and briefing documents, and ensuring executives are equipped to make informed decisions. Administrative Operations Maintain organized files, records, databases, and administrative systems to support efficient business operations. Manage executive expenses, accounts payable activities, and related administrative processes. Collaborate with other executive assistants to ensure seamless support across leadership teams and departments. Provide phone and office coverage within the Executive area as needed. Experience and Skills You'll Need to Have Associate degree required; Bachelor's degree preferred 8+ years of Executive Assistant, Executive Business Partner, Project Coordinator, or related experience supporting senior executives in a complex corporate environment. Experience supporting executive leadership within a publicly traded company preferred. Demonstrated experience managing multiple priorities, executive communications, and cross-functional stakeholder relationships. Technical Skills Advanced proficiency in Microsoft PowerPoint and Excel, including the ability to create executive presentations from limited direction, develop data-driven visualizations, and translate complex information into clear and impactful presentation materials. Strong proficiency in Microsoft Office Suite, including Outlook, Word, Teams, and Excel. Experience with SAP Concur, travel booking platforms, UltiPro, Diligent, or similar systems preferred. Core Competencies Exceptional organizational and project coordination skills with the ability to manage multiple priorities and deadlines simultaneously.
