Position Overview We are seeking a detail-oriented and proactive Executive Assistant / Transaction Coordinator to support our Managing Director and Sales Team in Nashville, TN. This role bridges high-level administrative support with meticulous process management, ensuring deals move seamlessly from contract to close while our teams' daily operations run flawlessly.
Key Responsibilities Transaction Coordination & Compliance Contract-to-Close Management:
Oversee administrative aspects of transactions from ratification to closing.
Deadline Tracking:
Monitor important dates, contingency periods, and inspections, ensuring all contractual milestones are met and communicated.
Document Preparation:
Draft, review, and organize necessary documents including addenda, disclosures, and closing packages.
Vendor & Client Liaison:
Act as the primary point of contact between agents, buyers, sellers, lenders, title companies, and inspectors.
Compliance:
Ensure all transaction files are fully compliant with brokerage, state, and local regulatory requirements.
Executive Support & Administration Calendar Management:
Manage and optimize complex schedules, meetings, and travel arrangements.
Inbox & Correspondence:
Screen incoming calls, draft professional email responses, and proactively filter communications.
Meeting Preparation:
Prepare agendas, take detailed meeting minutes, and track actionable deliverables.
Office Operations:
Maintain office supplies, oversee files and databases, and continuously improve workflow efficiency.
Qualifications & Requirements Experience:
2-3+ years of experience in administrative support; operations and/or transaction management a plus. (Real estate or lending experience heavily preferred).
Organization:
Exceptional multitasking and organizational abilities. Detail-oriented with strong follow-through and problem-solving ability
Communication:
Outstanding written and verbal communication skills. Must be able to maintain a calm, professional demeanor under pressure.
Tech-Savviness:
Proficiency in Google Workspace, Microsoft Office, and modern CRM or transaction management platforms.
Discretion:
Ability to handle confidential and sensitive information with the utmost discretion.
