THE ROLE
We are hiring an Executive Assistant to work directly with our Founder and CEO. This is not a reception or general administrative role. This is a high-trust, high-visibility position for someone who is organized by nature, thrives on structure, takes ownership without being asked, and wants to be at the center of a growing firm. You will own the calendar, manage communications, coordinate meetings and client interactions, support compliance and operational workflows, and serve as the operational right hand to the Founder. WHAT YOU WILL DO
Own and manage the Founder's calendar — scheduling, prioritization, and meeting preparation Coordinate client review meetings, advisor meetings, and vendor calls Manage email triage and draft correspondence on behalf of leadership Prepare meeting agendas, summaries, and follow-up action items Support onboarding coordination for new clients and new team members Maintain organized digital filing systems across Microsoft Office 365 Coordinate tasks, workflows and document tracking Handle travel coordination and logistics when needed Support compliance calendar reminders and deadline tracking Serve as the communication bridge between the Founder and the broader team
WHAT YOU BRING
Experience as an Executive Assistant, Administrative Assistant, or Office Manager in a professional services environment financial services, legal, insurance, or accounting preferred Exceptional organizational skills you do not let things fall through the cracks Strong written communication you write clearly, professionally, and without errors Proficiency with Microsoft Office 365 Outlook, Teams, Word, Excel Experience with CRM or practice management software is a plus WealthBox, Salesforce, or similar Calm under pressure you do not get rattled when priorities shift Discreet and trustworthy you will handle confidential client and business information daily Self-directed you see what needs to be done and do it without waiting to be asked
