an Executive Administrative Assistant and Data Analyst!! Our biodiesel company is recognized as a leader in the local community as we produce 18 million gallons of green fuel, provide employment and growth opportunity to residents and businesses in our area. In addition to the factory operation, we have built a successful and quickly growing fuel transportation company. We have about 60 trucks plus tankers, and reefer trailers all over the Southwest primarily and pushing East lately. We are looking for an energetic, analytical individual to join our team! Executive Management Team - Compliance Officer / Fuel Tax Manager / C.O.O.
Work Environment :
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, shredders, filing cabinets and fax machines.
Summary of Responsibilities :
  • Assist executive management with federal and state regulatory requirements and reporting, maintaining all business licenses, bonds, oversight and improvement of all operations, company procedure reviews, future goals, cost analysis and improvement.
  • Keeps management informed by collecting, reviewing and analyzing special reports, summarizing information, identifying trends, building reports, et.
  • Partner with HR to update and maintain office policies as necessary
  • Coordinate with IT department on office equipment
  • Provides legal support with document and contract notarization; maintains highly confidential information regarding litigation cases; develops cases by researching and gathering of facts for discovery requests; prepares responses to opposing counsel; participates in meetings with outside attorneys/paralegals on all active cases; tracking of all legal costs.
  • Insurance maintenance - Maintains worker compensation, property, and auto insurance policies and claims; ensures national and state compliance with EDD, DOL, etc. in Texas, New Mexico and other states as needed.
  • Processes/tracks New Mexico and Texas property taxes, including exemption submissions, i.e. TCEQ.
  • Assist with regulatory compliance issues and tracking with OSHA, LCFS, EPA, IRS, etc. which involves reviewing large amounts of production data and compiling reports for regulatory agencies.
  • Drafts and reviews legal documents and contracts.
  • Assist with final review of credit applications.
  • Provides administrative support to both the Chief Operating Officer and Chief Regulatory Officer, by scheduling all internal /external appointments via GoToMeeting/Outlook calendar; supporting with office organization; facilitate office staff computer maintenance and IT support.
  • Assist with review and resolution of accounting issues as necessary.
  • Assist with data collection and analysis. A large aspect of this position is reviewing, verifying and analyzing data using Microsoft Excel.
  • Other duties may be assigned Job Specific Knowledge & Skills Required
  • Bachelor's Degree or equivalent
  • Proven experience as Administrative Assistant
  • Proficiency in Microsoft Office, Word, Excel and Outlook
