Core Responsibilities This role covers three key operational areas: household project coordination, international relocation management, and daily lifestyle operations. It requires strong capabilities in project execution, cross-border coordination, and high-level household support, serving as a comprehensive family operations position that ensures the household runs efficiently and at a premium standard. 1. Household Daily Operations Management Schedule Management:Manage schedules and daily arrangements for core family members, with a focus on coordinating pregnancy, postpartum medical appointments, and related lifestyle matters.
Luxury Household Procurement:
Handle purchasing, replenishment, and inventory management of high-quality household supplies and lifestyle items.
Household Staff Management:
Recruit, manage, and supervise household staff and service providers, including housekeepers, nannies, drivers, and other domestic personnel, while maintaining high service standards. 2.
International Relocation & Multi-City Lifestyle Coordination International Relocation Coordination:
Oversee cross-border household relocation, including logistics coordination, customs clearance, transportation, and shipment management.
Residential Setup & Transition Support:
Coordinate housing arrangements, household staffing, and lifestyle setup in new locations.
Multi-City Resource Management:
Build and maintain premium lifestyle service networks across multiple cities, including Dallas, Shanghai, and Chicago, ensuring seamless transitions and consistent living standards across locations. 3.
Executive Personal Affairs Management Personal Support:
Assist with personal matters including vehicle maintenance, tax document organization, private correspondence, and domestic/international travel arrangements. The role requires flexibility for global travel.
Luxury Purchasing & Gift Management:
Manage the procurement, packaging, and delivery of luxury goods, personal purchases, and holiday gifts. 4.
One Dallas Residential Project Management Vendor Coordination:
Coordinate with external partners including real estate agents, builders, designers, attorneys, and other vendors to support project execution.
Permitting & Construction Coordination:
Handle zoning inquiries, permit applications, construction coordination, and inspection follow-ups.
Budget & Timeline Management:
Track project progress and budget execution, and provide regular project and expense reports. 5.
Family Financial Administration Daily Financial Support:
Assist with household expenses, payments, and financial coordination for both U.S. and China-based family operations.
Bookkeeping & Reconciliation:
Maintain expense records, organize receipts, manage reimbursements, and conduct regular reconciliations to ensure accurate and organized financial records. II. Qualifications & Core Competencies 1. Professional Experience Minimum 5 years of experience in high-end private advisory, personal assistant, luxury household management, real estate project coordination, or cross-border operations for high-net-worth families; Candidates familiar with both U.S. local lifestyle culture and high-end lifestyle service resources in Shanghai are preferred; Experience in international household relocation, luxury household financial management, and high-end household staff management is preferred. 2. Professional Skills Strong multitasking, team management, and project management capabilities, with the ability to independently break down large-scale projects and coordinate internal and external resources; Detail-oriented and financially sensitive, able to review professional contracts and proficient in Excel and other office software tools; Strong cross-functional resource coordination skills, with the ability to independently handle complex local matters in the U.S. and efficiently resolve unexpected issues. 3. Core Traits Strong initiative and problem-solving abilities, capable of proactively anticipating household needs, identifying issues, and resolving them independently; Comfortable operating in a high-pressure, fast-paced, cross-regional, and globally mobile work environment with a 24/7 responsiveness mindset; emotionally stable, resilient under pressure, highly service-oriented, and exceptionally detail-oriented. 4. Communication & Emotional Intelligence High emotional intelligence, maturity, and sharp thinking, with professional and efficient communication skills; able to coordinate effectively among family members and external vendors, drive execution efficiently, accurately manage work priorities, and flexibly handle complex situations. 5. Language Requirements Fluent in both Mandarin Chinese and English, with the ability to communicate seamlessly with U.S.-based organizations and independently assist with contracts, business correspondence, and cross-border coordination in both languages. 6. Travel & Residency Requirements Candidates open to live-in arrangements are preferred and must be willing to travel globally with the family throughout the year as needed.
