POSITION OVERVIEW
Malabar Hill Capital is seeking an experienced and highly capable Executive Assistant to support Chris Merchant, Co-Founder and Head of Development. This is a senior-level support role designed for a professional who has built a career in executive assistance and is seeking a long-term position within a dynamic and growing real estate development firm. The ideal candidate is exceptionally organized, communicates with clarity and confidence, and operates with a strong sense of urgency. This individual does not wait to be reminded. They anticipate needs, close loops proactively, and hold themselves accountable to outcomes, not just tasks. KEY RESPONSIBILITIES
Calendar and Schedule Management Own and manage Chris's calendar with a high degree of accuracy and foresight. Proactively identify scheduling conflicts, coordinate meetings with internal team members, contractors, consultants, and external partners, and ensure management is thoroughly prepared for every commitment. Meeting Coordination and Follow-Through Coordinate all meetings end-to-end, from scheduling and preparation through post-meeting execution. Following each meeting, produce a clear and organized written summary documenting all action items, decisions, and next steps with assigned ownership. Monitor open items through to completion. Executive Communications Draft, manage, and route correspondence on management's behalf with professionalism and discretion. Filter and prioritize incoming communication, ensuring management's attention is directed toward the highest-value matters. Maintain strict confidentiality across all communications. Development Operations Support Coordinate across active development projects by tracking timelines, vendor commitments, contract milestones, and pending deliverables. Liaise with architects, engineers, contractors, and consultants to support project momentum. Surface issues requiring executive attention before they escalate. Documentation and Records Management Maintain organized, current, and accessible records across all active projects and correspondence using Dropbox and Microsoft Office Suite. Own the filing structure and ensure institutional knowledge is properly documented and retrievable. Administrative and Operational Support Prepare internal reports, presentations, and project updates. Support travel coordination, expense reconciliation, and day-to-day operational needs as they arise.
QUALIFICATIONS
Required A minimum of 5 years of experience as an Executive Assistant supporting a C-suite or senior executive in a demanding, high-output environment. A minimum of 3 years of direct experience in real estate, whether in development, brokerage, construction coordination, property management, or a closely related field. Exceptional organizational skills with the demonstrated ability to manage multiple concurrent priorities without loss of accuracy or urgency. Strong written and verbal communication skills, with emphasis on clarity, professionalism, and consistent follow-through. Advanced proficiency in Microsoft Word, Microsoft Excel, Dropbox, and task or project management platforms. A proactive, ownership-oriented work style: this individual anticipates needs, communicates status without being prompted, and treats deadlines as non-negotiable. Availability for full-time, in-person work with a long-term commitment to the role and the organization Preferred Bachelor's degree in Business Administration, Communications, or a related field.
