Job Description

Wade Giles of the Giles Group @ Compass ("Principal") is seeking an Executive Real Estate Assistant
POSITION OVERVIEW
Serve as Principal's right hand, protecting his time, anticipating needs, driving follow-through, and supporting the real estate and client-service activities of a high-producing luxury real estate team in Austin, TX. Success requires exceptional organization, judgment, communication, discretion, and the confidence to proactively manage priorities and decisions to closure.
PRIMARY RESPONSIBILITIES
Executive Support and Time Management:
Own inbox and calendar; prioritize, filter and resolve matters where appropriate; prepare the Principal for each day; communicate in his voice; protect his time and proactively surface priorities
Real Estate and Transaction Support:
Coordinate listing preparation and activation; prepare agreements through TC handoff; assist with CMAs, buyer needs and reporting; provide occasional showing/open-house coverage, if licensed
Client, CRM, and Business Development Support:
Maintain CRM accuracy and follow-up; ensure client/prospect commitments do not fall through the cracks; support client communications, marketing, collateral and business-development initiatives
Executive Operations and Accountability:
Maintain organized systems, files and workflows; track open tasks, commitments and decisions through completion; coordinate across the team; continually identify ways to reduce administrative demands and prevent the Principal from becoming an operational bottleneck
KEY PERFORMANCE INDICATORS AND MEASURES
Inbox & Communication:
Daily triage; priority communications surfaced promptly; routine matters resolved without unnecessary Principal involvement.
Calendar & Time Protection:
Accurate, prioritized calendar; conflicts proactively resolved; Principal prepared for important meetings and commitments.
Follow-Through & Task Closure:
Open commitments, delegated items and decisions tracked to completion; no material client or business follow-up falls through the cracks.
Real Estate Execution:
Listings, agreements, CMAs, buyer needs and TC handoffs completed accurately and on time with minimal correction.
Proactive Executive Support:
Anticipates needs, identifies problems and presents solutions before being asked; administrative and operational demands on Principal decrease over time.
QUALIFICATIONS
2+ years supporting a high-performing real estate professional, executive, attorney, or similarly demanding principal; Texas real estate contract experience strongly preferred. Exceptional writing, communication, organization and attention to detail. Proactive, resourceful, solution-oriented and receptive to direct feedback. Texas real estate license preferred. Comfortable with occasional weekend needs.
STRUCTURE
Full-time; approximately 90% in office (Rollingwood) / 10% out of office.
Compensation:
$60,000 to $75,000 DOE + discretionary annual bonus. Employment classification and benefits to be determined.
SUCCESS STANDARD
The best person in this role does not simply manage tasks, they create leverage. They organize priorities, anticipate what is coming, bring decisions to closure, and make problems disappear before they consume the Principal's time.
