Job Description
Responsibilities:
- Oversee a dynamic executive calendar, arranging meetings, resolving scheduling conflicts, and aligning commitments across multiple lines of business.
- Facilitate meeting preparation by assembling agendas, documenting follow-up items, and helping drive completion of next steps with internal and external partners.
- Coordinate domestic and international travel plans, including itineraries, logistics, and expense documentation, while minimizing disruptions to the executive's schedule.
- Partner with leaders across various business units to support priority initiatives and keep cross-functional efforts moving forward effectively.
- Develop high-quality presentations, reports, and briefing documents for leadership meetings, board discussions, and stakeholder updates.
- Handle confidential business information with a high degree of tact, maturity, and sound judgment.
- Assist with research, special assignments, and operational projects that support executive and organizational goals.
- Maintain accurate records, organized digital files, and essential documentation related to executive activity and business operations.
- Recommend and implement practical improvements that strengthen communication, coordination, and administrative efficiency. Requirements
- At least 5 years of experience supporting senior-level executives, ideally within a multi-company, entrepreneurial, or rapidly expanding organization.
- Demonstrated ability to manage shifting priorities independently while maintaining accuracy and close attention to detail.
- Strong written and verbal communication skills with the confidence to interact professionally with executives, clients, and outside partners.
- Proficiency with Microsoft Office and/or Google Workspace; familiarity with project coordination tools is an advantage.
- Advanced organizational, time-management, and problem-solving capabilities.
- Proven ability to handle sensitive and confidential information with discretion and integrity.
- A proactive approach, with the judgment to anticipate needs and respond with urgency when priorities change.
