Raise3D is seeking a highly organized, analytical, and technology-oriented Executive Assistant to provide direct administrative and operational support to the President. This role helps the President maintain visibility into sales performance, technical service activities, warehouse operations, and cross-functional priorities. The ideal candidate is proactive, detail-oriented, comfortable working with data and technical information, and experienced in using AI tools to improve reporting, documentation, follow-up, and internal workflows. Mandarin Chinese proficiency is preferred, as the role may have opportunities to communicate with China-based teams.Key Responsibilities:
Executive & Administrative Support- Provide direct administrative and operational support to the President, including scheduling, meeting preparation, correspondence, and document organization.
- Prepare meeting summaries, action-item lists, reports, presentations, and follow-up communications.
- Track assignments, deadlines, and cross-functional projects through completion while handling confidential information with discretion. Sales Performance Tracking
- Collect, organize, and monitor sales pipeline, opportunities, orders, forecasts, and individual performance data.
- Prepare weekly and monthly management summaries and identify stalled opportunities, overdue follow-ups, or missing information.
- Coordinate with the sales team to improve the accuracy and completeness of CRM and reporting data. Technical Service Coordination
- Develop a working understanding of Raise3D products, common technical issues, and after-sales service processes.
- Track key customer cases, installations, repairs, replacements, and escalations, including owners, next steps, and expected completion dates.
- Summarize customer impact, recurring issues, and delayed cases for management; this role is not expected to independently repair equipment. Warehouse & Operational Coordination
- Assist with monitoring inventory, incoming and outgoing shipments, returns, replacements, and RMA status.
- Coordinate among warehouse, sales, and technical teams to confirm accurate and timely order and service fulfillment.
- Help investigate inventory discrepancies, incorrect shipments, missing items, and delayed returns, including occasional physical verification in the warehouse. AI & Process Improvement
- Use AI tools such as ChatGPT, Microsoft Copilot, or similar platforms for research, analysis, reporting, document preparation, and workflow improvement.
- Convert emails, meetings, spreadsheets, and operational data into concise summaries, dashboards, SOPs, checklists, and actionable reports.
- Identify repetitive processes that may be improved through AI, automation, or better data organization, and verify AI-generated work for accuracy and confidentiality. Cross-Functional Communication
- Serve as a coordination point among the President, sales, technical support, warehouse, finance, and other departments.
- Communicate with China-based teams regarding products, supply chain, technical matters, and operational projects when needed.
- Ensure that responsibilities, decisions, deadlines, and next steps are clearly documented and communicated.
Qualifications:
Required Qualifications- Bachelor's degree in business, operations, information systems, engineering, data analytics, or a related field preferred.
- Previous experience in executive support, operations coordination, project coordination, business analysis, or a related role preferred.
- Strong written and verbal communication skills in English; Mandarin Chinese proficiency is strongly preferred due to regular communication with China-based teams.
- Strong organizational, analytical, follow-up, problem-solving, and time-management skills.
- Proficiency in Microsoft Excel, Word, PowerPoint, and Outlook, with practical experience using AI tools for business work.
- Ability to learn technical products, interpret information from multiple departments, and manage competing priorities independently.
- High level of discretion and sound judgment when handling confidential business and personnel information. Preferred Qualifications
- Experience in technology, manufacturing, 3D printing, industrial equipment, technical service, or a related industry.
- Experience with Salesforce, Monday.com, ADP, ERP, inventory-management, customer-support, or workflow-automation systems.
- Experience creating dashboards, management reports, SOPs, or process automations.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Ability to work in both office and warehouse environments and occasionally inspect inventory, equipment, or shipments.
- Ability to occasionally lift up to 25 pounds.
