POSITION SUMMARY
Reporting directly to the CEO / VP, the Executive Assistant works independently to perform a wide range of complex and confidential administrative and clerical support duties. This role requires excellent communication and interpersonal skills, the ability to interface with a wide range of internal and external contacts, and a thorough understanding of company policies and procedures.
KEY RESPONSIBILITIES
Provide comprehensive administrative support to the highest-ranking executive(s) in the organization Serve as the principal administrative contact and liaison with all company constituents and external contacts Develop, implement, and administer departmental office systems and procedures Review, assess, route, answer, and monitor follow-up action steps on correspondence Gather and analyze information required for administrative reporting Prepare and edit letters, memoranda, reports, presentations, and other materials Use multiple technical applications including word processing, database management, spreadsheets, graphics, and presentation software Manage complex calendars and arrange meetings, appointments, and travel Coordinate events including conferences, seminars, and off-sites Purchase and maintain inventory of office supplies Perform research and summarize findings for executive review Create and maintain filing systems Answer and route phone calls, mail, and email; handle information dissemination as needed
REQUIRED QUALIFICATIONS
5+ years of related experience with proven office administration and customer service skills Solid working knowledge of office processes, business policy development, and related computer software Proven interpersonal skills with experience providing complex administrative support in a high-profile environment with tact and diplomacy Experience managing multiple deadlines and working to a budget Ability to work across teams and with a variety of projects and constituencies High level of discretion and professionalism with confidential information #hc247203
