What We Are Looking For We're looking for an organized, execution-obsessed Executive Assistant who operates as a true right hand to the CEO. This person is loyal, sharp, and deeply invested in the CEO's success, with the judgment to protect the CEO's time, reputation, and brand. You'll build the organization that lets the CEO show up bigger, internally and externally, while filtering out everything that doesn't deserve a seat on the calendar or belongs to another leader. You thrive on ambiguity, pivot fast when priorities shift, and get genuine satisfaction from making complicated things look effortless. What You'll Do Calendar & Executive Scheduling Own the CEO's calendar end-to-end

  • proactively scheduling, defending, and re-sequencing time to protect focus on the highest-leverage work Identify and clear conflicts before they happen; strategically triage requests for the CEO's time against what actually matters and critically needs the CEO's approval. Prep the CEO ahead of every meeting, call, and appearance
  • background, topics, talking points, materials, slide packs, and logistics handled in advance
External Visibility:

Speaking, Awards & Media Manage outreach and relationship pipelines for speaking events, awards, national recognition opportunities, and guest appearances Research, vet, and package opportunities (speaking, media, awards, community engagement) with clear recommendations so the CEO can decide fast Coordinate community engagement and external relationship-building on the CEO's behalf, representing the CEO's brand and voice accurately Materials & Communications Build polished slide packs, board materials, and briefing documents that let the CEO walk into any room and any audience, fully prepared Draft and manage correspondence, follow-ups, and external communications on the CEO's behalf with a consistent, on-brand voice Travel & Logistics Plan and manage all travel logistics, itineraries, and contingencies, anticipating problems before they become the CEO's problem Gatekeeping & Internal Coordination Act as a gatekeeper and internal connector

  • triaging incoming requests from leadership and staff, routing what can be handled without the CEO Anticipate needs before they're asked
  • constantly scanning for what's coming and solving problems before they hit the CEO's desk Maintain absolute discretion with confidential, sensitive, and strategic information What We Offer Competitive salary based on experience Medical, Dental, Life Insurance 401K with company matching 4 weeks accrued PTO Employee discounts Fast-paced environment Purposeful mission for health and wellness What You'll Bring Experience 5+ years supporting a CEO, founder, or senior executive in a high-growth or fast-paced environment Proven ability to manage complex calendars, competing priorities, and last-minute changes without dropping a ball Experience coordinating external-facing opportunities•speaking engagements, media, awards, or partnerships•a strong plus Strong slide-deck and document-building skills (PowerPoint/Google Slides) with an eye for polish and clarity Excellent written and verbal communication; comfortable representing the CEO externally Highly organized, detail-obsessed, and self-directed•you build your own systems rather than waiting to be told A problem-solver's instinct: when something breaks, you fix it or find a path around it, fast Unquestionable discretion, loyalty, and sound judgment with confidential information Willingness to flex hours and travel as needed to support the CEO's schedule
