Mother's Helper Home Health Agency Norfolk, Virginia Pay:
$16 - $20 per hour
Schedule:
Full-Time (30-40 hours per week) Position Overview Mother's Helper Home Health Agency is seeking a highly organized and experienced Executive Administrative Assistant with prior experience in the medical or healthcare field to support executive leadership and assist with the daily operations of our growing home health agency. The ideal candidate will be professional, detail-oriented, and experienced in healthcare administrative operations, including medical documentation, scheduling, compliance records, and communication with healthcare professionals and patients. This role requires someone who can manage multiple responsibilities, maintain strict confidentiality, and provide administrative leadership support while ensuring smooth office operations. Key Responsibilities Executive Administrative Support Provide administrative support to the Administrator and leadership team Manage executive calendars, appointments, and meetings Prepare reports, correspondence, and internal documents Maintain confidential executive and personnel records Healthcare Administrative Support Assist with medical documentation and patient record management Support patient intake documentation and filing Maintain compliance records and personnel documentation Assist with preparation of regulatory and licensing documentation Office Operations Coordinate scheduling for staff, meetings, and trainings Answer phones and respond to inquiries from patients, families, and staff Maintain organized electronic and physical filing systems Assist with HR and payroll documentation as needed Communication & Coordination Serve as a liaison between leadership, clinicians, caregivers, and external partners Assist with onboarding documentation for new employees Support coordination of agency trainings and compliance activities Required Qualifications ✔ Previous experience in a medical or healthcare administrative role (Required) ✔ Minimum 2 years administrative experience ✔ Strong knowledge of medical office procedures and documentation ✔ Excellent organizational and time management skills ✔ Proficiency in Microsoft Office, Google Workspace, and electronic documentation systems ✔ Ability to maintain HIPAA compliance and confidentiality ✔ Strong written and verbal communication skills Preferred Qualifications ✔ Experience working in home health, home care, or healthcare agency settings ✔ Familiarity with Medicaid, Medicare, or healthcare documentation requirements ✔ Experience supporting executive leadership Personal Qualities We Value Professional and dependable Highly organized and detail-oriented Ability to work independently Compassionate and service-orientedStrong problem-solving and communication skills
