The Executive Assistant to the President provides administrative support to the President and the Board of Directors and oversees the daily operations of the President's Office.Essential Qualifications:
Proficiency in MS Office (Word, Excel, PowerPoint, etc.) Skilled in coordination of meetings and calendar management. Strong attention to detail and astute sense of discretion. Ability to multi-task and juggle competing priorities. Ability to coordinate events and manage logistics. Ability to support travel arrangements for the President & the Board of Directors Strong ability to track presidential initiatives, projects and deliverables. Strong writing skills with the ability to prepare sensitive documents. Excellent interpersonal skills to represent the Presidents office across campus, and with Board members, alumnae, donors, advisory groups, and policy makersSupervisory Responsibility:
Supervise the Senior Administrative Assistant Supervise the Sweet Briar House managerDay-to-Day Responsibilities:
Maintains general oversight of the daily operations of the Presidents office include the Presidents extensive meeting schedule. Handles delicate matters with absolute confidentiality and sensitivity. Works collaboratively with the Presidents Cabinet to support the work of the President's office. Interfaces with College constituents and stakeholders on behalf of the Presidents office. Interfaces with government offices, area businesses, and other regional organizations on behalf of the Presidents office. Handles the Presidents travel arrangements, working with a travel agency to book airline tickets, rental car, hotel reservations, etc. Ensures the President and Board's websites are up to date. Works collaboratively with the Senior Administrative Assistant in planning and execution of any special events, luncheons, and dinners on campus hosted by the President. Works with the Senior Administrative Assistant to plan and execute the colleges commencement ceremony Serves as Assistant Secretary to the Board of Directors (Secretary is an elected Board member).NOTE:
The Presidents Office is the main liaison for all members of the Board. Works with the President and Board Chair to organize all meetings of the Board of Directors, providing logistical support for a minimum of two on-campus meetings per year. Keep official minutes of all meetings of the full Board of Directors. Support board committee meetings as requested. Maintains all board materials on Board Effect for the Board of Directors.Required Qualifications:
3-5 years' experience working in a close, team-oriented office environment. 3-5 years' experience managing and tracking multiple projects. 3-5 years experience working with active calendars and travel. 1-2 years' experience in event planning. Ability to maintain strict confidence.Preferred Qualifications:
Preferred degrees, licenses or credentials:B.A., B.S.
Previous experience working with a board of directors or trustees. Previous experience working in a higher education would be helpful. Knowledge of Google Workspace helpful (Gmail, Google Calendar, Groups, Google Docs, Google Forms, etc.) Knowledge of Banner helpfulWork Environment:
Will work in a busy, shared office space.Travel:
May rarely travel to provide administrative support for board meetings.Other Duties :
