This role plays a key behind‑the‑scenes function—helping keep donor operations, board coordination, and fundraising logistics running smoothly and reliably.

Compensation:
The target wage range for this position is $30.59 hourly to $38.24 hourly. Final offers are individually based on various factors, including skill set, years of experience, location, qualifications, work schedule and other job-related reasons. Primary Responsibilities Executive Support Serve as the primary Executive Assistant to the Chief of Community Engagement, providing seamless support for daily priorities, leadership workflows, and external engagement. Manage a complex and dynamic calendar, coordinating meetings with community partners, donors, board members, and internal leaders—balancing priorities, anticipating needs, and ensuring meetings are purposeful and well prepared. Prepare agendas, materials, and briefings in advance of meetings, ensuring the Chief of Community Engagement is well positioned for effective conversations. Act as a reliable point of follow‑up with community partners and external stakeholders, ensuring timely communication, clear next steps, and warm, professional interactions. Track commitments, action items, and deadlines from meetings and communications, following through to completion with accuracy and care. Support Foundation Board coordination, including scheduling, materials preparation, distribution, and post‑meeting follow‑up. Maintain organized systems for correspondence, files, records, and materials related to foundation and community engagement work. Gift Processing and Donor Data Stewardship Process charitable gifts accurately and efficiently across all giving channels (online, check, credit card, workplace giving, donor‑advised funds, and third‑party platforms). Maintain high‑quality donor and gift records in the donor database, ensuring accuracy, consistency, and data integrity. Prepare and send donor acknowledgements, receipts, tribute letters, and annual giving statements in accordance with organizational procedures and compliance requirements. Coordinate with Finance on routine reconciliation, documentation, and reporting, particularly during month‑end and year‑end periods. Maintain clear documentation and procedures related to gift processing and donor data to support continuity and accountability. Key Skills, Knowledge & Abilities Ability to maintain confidentiality and handle sensitive and privileged information with discretion, including compliance with HIPAA and organizational confidentiality policies. Strong organization, time management, and attention to detail, with the ability to manage multiple priorities, track action items, and follow through reliably. Strong verbal and written communication skills, including the ability to communicate clearly, listen actively, and edit work for accuracy and clarity. Proficiency with standard business software and databases, including Microsoft Word, Excel, Outlook, PowerPoint, and donor database systems. Ability to take initiative and work independently when appropriate. Education & Experience Requirement Requirements for this role: 2-years of mid-level administrative assistant experience.
Preferred for this role:
2-years database management or use. Degree in business administration or related field. Experience with Raiser's Edge or a similar database.
