The File Clerk is the curator of the records our attorneys rely on to prepare each case well, which makes precision, follow-through, and discretion as important in this role as they are in the courtroom. About the Role ENA is hiring a meticulous, dependable, and tech-comfortable File Clerk to serve as the keeper of our firm's physical and digital records. This role is the single point of accountability for the movement, tracking, and care of every active and closed client file in the firm. It is a high-trust, behind-the-scenes position that keeps our attorneys ready for every meeting, deposition, and deadline. We are actively investing in tools and process changes: digital intake, clearer ticketing, and modernized note-capture and the right hire will be a partner in that evolution rather than just an operator within it. Key Responsibilities File Management & Tracking Open new physical case files as cases come in (label folders, set up the file structure, and register the new file in NEOS) so it is locatable from day one. Pull, deliver, and re-shelve physical case files in response to requests submitted to the central file-clerk inbox. Maintain the source-of-truth file location field in our case management system (NEOS) so every active file can be located on demand. Treat requests as time-sensitive; clarify deadlines with requesters when they are not provided. Send a weekly confirmation email summarizing files delivered to attorney offices, providing the firm's written audit trail. Sort, alphabetize, and re-file loose pages and returned documents in a single efficient pass. Reorganize and re-shelve the file room as the active file population shifts. Calendar Prep & Daily Readiness Each afternoon, review the firm calendar and pre-pull files needed for the next day's meetings, depositions, and court appearances. Each Tuesday, print and prepare a two-week-out calendar packet for the attorney planning meeting. Follow up after deliveries to confirm files reached the right attorney's office. Closed Files & Offsite Storage Move closed files from active shelving to the firm's basement archive and offsite storage unit on a regular cadence. Drive to and from the offsite storage unit to retrieve, deliver, and consolidate closed files. A valid driver's license is required. Support the closed-file purge program in partnership with attorneys, identifying boxes ready for destruction once retention requirements are met. Maintain a clear running inventory of which files are where. Scanning, Notes & Mail When files are returned, review for handwritten attorney notes and scan them into the digital case record. Process incoming and inter-office mail; coordinate with the administrative team for outgoing scanned mail and postage. Task & Workflow Coordination Use a shared task system (Asana or similar) to manage recurring file-room duties, ad-hoc requests, and project work. Track inbound file requests so nothing falls through the cracks between email, hallway asks, and case-system tasks. Contribute to firm-wide process improvements that route requests through a single, predictable channel. Reception & Cross-Coverage Provide phone-coverage backup at the front desk during the receptionist's breaks, lunches, and absences. Cross-train on adjacent administrative functions (reception, intake support, mail and scanning) so the firm has flexible coverage, and you build a broader skill set over time. What We're Looking For-Required High school diploma or equivalent. Valid driver's license and reliable access to a vehicle. Strong organizational instincts and the patience to maintain order against a steady inbox of requests. Comfort with everyday office technology (email, document scanners, cloud file storage (Box or similar), task tools (Asana or similar), and case management software (NEOS or comparable). Ability to lift and move file boxes (up to 30 lbs), use a ladder, and spend significant time on your feet. Discretion and an unwavering respect for client confidentiality. Clear written communication for short, factual status updates and audit-trail emails. Self-direction, the role often runs as a one-person operation, with limited day-to-day supervision. Preferred Prior experience in a law firm, medical practice, accounting firm, or other records-heavy professional environment. Familiarity with legal terminology and the case lifecycle. A track record of suggesting and building process improvements; we welcome ideas. What Success Looks Like Any attorney or paralegal can locate any active file within minutes by checking NEOS. Files needed for the day's calendar are on attorneys' desks before the day begins. Loose filing and closed-file backlog stay current rather than accumulating. Closed files relocate to long-term storage on a predictable cadence, freeing active shelf space. Inbound requests are tracked and acknowledged so nothing is lost between email, hallway, and case-system asks.
