Job Description

Job Summary:
Under the direction of the Administrative Assistant, assist the Tribal Chairman and Tribal Administrator, maintain confidentiality, keep current and updated all files, route paperwork, information and messages to the appropriate departments, must be knowledgeable of all office information, and maintain computer records management.
Duties:
1. Pleasantly greeting visitors, staff, tribal members and others at reception window and determine service need, then direct to the appropriate department and individual or take message for appropriate staff follow-up 2. Answer telephone(s) and screen incoming calls by properly directing each to appropriate department and individual or take message for appropriate staff follow-up 3. Pick-up, date stamp, record and disburse all incoming surface mail and facsimile (fax) transmissions on a daily basis 4. Record all tribal checks 5. Check out tribal equipment and vehicles by recording driver and vehicle issued 6. File and retrieve record(s) 7. Provide office services including setting up of computer file system, copying, processing administrative paperwork requests, routing paperwork, producing various documents (fliers, notices, etc.), correspondence formatting and proofing 8. Maintain office supplies by assessing staff needs and ordering supplies 9. Other duties as assigned or required
Requirements:
Must possess a valid Driver License and be insurable through tribal insurance Must possess a high school diploma, GED or two years office work related experience. Must pass pre-employment alcohol/drug screening Must be able to maintain confidentiality at all times Must be able to establish and maintain effective cooperative working relationships with all visitors, staff, tribal members and others Must be able to communicate effectively verbally and in writing using proper grammar Must have computer experience with computers software (MS Office)
