Job Description
Position Summary The Document Scanning Assistant is responsible for preparing, scanning, and organizing physical documents into the bank's electronic document management system. This role supports the bank's transition from paper-based processes to a secure digital environment by ensuring documents are accurately scanned, indexed, and readily accessible for business operations, regulatory compliance, and customer service. Working closely with all departments, the Document Scanning Assistant helps maintain organized electronic records while supporting the bank's commitment to operational efficiency and modernization. Key Responsibilities Review documents for clarity and legibility; remove staples, paper clips, and other bindings; repair minor damage before scanning Organize and classify electronic records according to established document retention and filing standards. Assist departments in converting historical paper files into electronic records. Operate scanning equipment (flatbed, straight-feed, planetary) to produce accurate, high-resolution digital images Maintain confidentiality and security of customer and bank information throughout the scanning process. Assist with records retention, destruction schedules, and document storage procedures in accordance with bank policies. Maintain scanning equipment and coordinate maintenance or service requests as needed. Support process improvement initiatives related to document imaging and workflow automation. Perform other duties as assigned. Qualifications High school diploma or equivalent required. Previous administrative, records management, document imaging, or banking experience preferred. Basic computer proficiency, including Microsoft Office applications. Experience working with document management or imaging software is preferred but not required. Ability to maintain accuracy while processing large volumes of documents. Competencies Exceptional attention to detail and organizational skills. Ability to handle confidential information with discretion and professionalism. Self-motivated with the ability to work independently and as part of a team.
