Job Description

Description We are looking for an experienced Legal Secretary to join a well-established law firm in Los Angeles, California. This position supports a busy civil litigation practice and is ideal for someone who thrives in a fully onsite environment with strong administrative systems and long-tenured support teams. The role offers the opportunity to work closely with attorneys on employment and related litigation matters while contributing to efficient case management and document preparation.
Responsibilities:
  • Manage electronic court submissions in state and federal jurisdictions, ensuring filings meet procedural and service requirements.
  • Prepare, revise, and format legal correspondence, pleadings, discovery templates, and other case-related documents with accuracy and consistency.
  • Assemble tables of contents and tables of authorities for briefs, motions, and other formal filings.
  • Maintain organized case files by tracking records, correspondence, and legal documents in both digital and physical formats.
  • Handle general administrative support such as scanning, copying, faxing, and processing document distribution.
  • Coordinate the preparation of hearing binders and provide support for trial readiness and related case materials.
  • Support multiple attorneys in a shared-desk structure while helping manage shifting priorities across active litigation matters.
  • Enter and track attorney time when needed and assist with day-to-day practice support using firm-approved software tools. Requirements
  • Ability to work onsite daily in DTLA
  • At least 5 years of experience supporting civil litigation practices in a legal secretary or similar role.
  • Demonstrated knowledge of court filing procedures in both state and federal courts, including service rules and deadlines.
  • Experience preparing complex legal documents and submitting substantive motions or related court materials.
  • Proficiency with Microsoft Office and legal technology such as document management, PDF editing, and formatting tools.
  • Ability to create tables of contents and tables of authorities accurately for litigation filings.
  • Strong organizational skills with the ability to manage multiple attorneys, deadlines, and document workflows simultaneously.
  • Experience with attorney time entry is preferred.
  • Familiarity with appeals filing procedures is a plus.
