This role centers on transcribing attorney dictation, preparing and proofreading estate planning documents, and managing day-to-day office workflows. The ideal candidate is highly organized, comfortable with legal terminology, and committed to working onsite every day. •This position is 5 days a week in office in Thousand Oaks, however there is flexibility for candidates who have obligations such as picking up/dropping off kids. Close-knit office culture that values work/life balance! Key Responsibilities Transcribe attorney dictation (audio files and meeting notes) into clear, accurate legal documents. Draft, format, and proofread estate planning documents including wills, trusts, powers of attorney, health care directives, and related correspondence. Prepare engagement letters, client intake forms, closing letters, and routine legal correspondence under attorney supervision. Maintain and organize physical and electronic client files; ensure documents are correctly indexed and easily retrievable.
Coordinate document execution:
prepare signature-ready packets and coordinate signatures. Maintain strict confidentiality of all client and firm information. Qualifications 3+ years of experience as a legal secretary or legal assistant, preferably in estate planning, probate, or trust administration. Strong transcription skills with excellent typing speed and accuracy. Exceptional attention to detail, organizational skills, and ability to manage multiple priorities. Professional communication skills and a client-service mindset. Ability to work onsite every business day; reliable commute to Thousand Oaks.
Pay:
$25.00 - $40.00 per hour
