Job Description

Job Overview We are seeking an energetic and highly organized Real Estate Transaction Coordinator to join our team! In this vital role, you will serve as the central hub for managing all aspects of real estate transactions, ensuring a smooth and efficient process from contract to closing. Your proactive approach, exceptional organizational skills, and attention to detail will help facilitate seamless communication between clients, agents, lenders, attorneys, and other stakeholders. This position offers an exciting opportunity to contribute to a fast-paced real estate environment while honing your administrative expertise. Duties Coordinate all transaction activities, including preparing and reviewing contracts, disclosures, and legal documents with precision and accuracy. Manage calendar schedules for inspections, appraisals, and closing dates to ensure timely completion of each step. Serve as the primary point of contact for clients and agents, providing exceptional customer service through clear communication and professional phone etiquette. Utilize office management software and tools such as Microsoft Office and Google Workspace to maintain accurate records and streamline workflows. Oversee data entry tasks including filing documents electronically and physically, proofreading contracts for errors, and updating transaction statuses in multiple platforms. Maintain organization through meticulous filing systems, timely follow-ups, and effective time management practices to meet deadlines consistently. Qualifications Proven experience in office administrative roles within real estate is highly desirable. Ideally, has real estate license. Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel) and Google Workspace (Docs, Sheets). Excellent organizational skills with the ability to multitask effectively in a fast-paced environment. Must be able to handle many tasks at once and ensure completion by deadlines. Exceptional customer service skills combined with professional phone etiquette and strong communication abilities. Prior experience including data entry, proofreading, filing, calendar management, and document preparation is essential. Ability to adapt quickly to new technology platforms while maintaining high accuracy levels in all tasks.
