A Litigation Legal Secretary provides secretarial and administrative work for a litigation attorney or litigation law firm. Uses specialized knowledge of legal terminology and procedures related to litigation. Organizes files, schedules meetings and manages communication to prepare for lawsuits and trials. Prepares and files documents for court cases. Works with supervision from an attorney or paralegal; may handle paralegal tasks.
Our client is seeking a highly organized and detail-oriented Litigation Legal Secretary to join their team. The ideal candidate will have a strong background in litigation support, excellent communication skills, and the ability to manage multiple responsibilities with accuracy and discretion. This role requires proficiency with electronic court filings, docketing, billing, and legal correspondence, as well as a proactive and professional approach to supporting attorneys in a fast-paced legal environment.
Key Responsibilities:
Prepare, edit, finalize, and distribute monthly client bills, including making corrections to prebills and organizing cover letters for mailing, scanning, or emailing. Track and follow up on past-due invoices and manage billing structures for clients with percentage-based billing. Perform docketing tasks and manage attorney calendars; track deadlines and court dates as directed by court orders. Assist with recruiting summer associates, including resume collection, scheduling interviews, and planning events and lunches. Process weekly and monthly reimbursement check requests and track credit card transactions related to court filings and clerk fees. Electronically file pleadings and discovery documents; download case information and filings from court websites and dockets. Coordinate and schedule conference calls, meetings, and travel arrangements, including flights, lodging, and ground transportation. Support attorneys in trial preparation, including organizing files, assembling binders, and coordinating logistics for luncheons and meetings. Enter attorney time from dictation, handwritten notes, or electronic formats. Draft and prepare correspondence and legal documents, including "skeleton" versions of pleadings and discovery for attorney review and revision. Maintain and organize all case-related materials in NetDocs, ensuring consistency and accessibility across all matters.
Qualifications:
Prior experience as a litigation legal secretary or similar role in a law firm setting. Proficient in electronic court filing systems and docket management. Strong organizational, multitasking, and communication skills. Familiarity with legal billing software and document management systems (e.g., NetDocs). High level of discretion and professionalism when handling confidential matters. Ability to anticipate attorney needs and work independently with minimal supervision. #IND2
