This role offers the opportunity to support multiple practice areas, streamline legal operations, and ensure smooth case management. As a Legal Secretary, you will be the backbone of our legal administrative functions, providing essential support to our attorney and paralegals while maintaining an organized, efficient office environment. Your proactive approach and attention to detail will help us deliver exceptional legal services to our clients.
Duties:
Manage and organize legal documents using document management systems such as CLIO, ensuring accuracy and confidentiality Manage office workflow and scheduling using schedule management systems such as Outlook and CLIO. Assist with scheduling and managing intake meetings with prospective clients. Assist with legal case management by maintaining case files, tracking deadlines, and updating case status in litigation management systems Coordinate client interviews by preparing questionnaires and transcribing responses accurately Support our attorney with project management tasks related to complex legal matters, probate administration, and estate plan signings. Handle administrative duties including data entry, filing, scheduling appointments, managing phone etiquette, and providing executive administrative support when needed Experience Proven paralegal experience or legal administrative experience within a law office environment Familiarity with a wide range of practice areas including estate planning, landlord-tenant law, family law, guardianships and conservatorships, tax law, real estate law, and elder law. Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced setting Experience with document management systems like CLIO or similar platforms; familiarity with MIFILE or other e-filing software is a plus Exceptional clerical skills including data entry, filing procedures, transcription services, and maintaining meticulous records Outstanding communication skills coupled with professional phone etiquette to interact effectively with clients and team members Licensed Notaries are preferred.
