(FLB), one of the largest law firms in the Lehigh Valley, is seeking a Real Estate Client & Matter Coordinator to join our Real Estate Practice Group. This position serves as an important connection point between our clients, attorneys and internal teams. The Coordinator will help manage new matters from the initial client contact through matter opening and ongoing administration, while providing day-to-day support that helps the Real Estate group operate efficiently and deliver a high level of client service. We are looking for someone who is organized, responsive and comfortable managing a high volume of details. Key Responsibilities Client Intake & Matter Coordination Serve as a primary point of contact for prospective and existing Real Estate clients on routine administrative matters. Respond to incoming inquiries professionally and promptly and route matters to the appropriate attorney or team member. Coordinate the new-client and new-matter intake process, including gathering necessary information and documentation. Prepare and process new matter forms and related onboarding materials. Coordinate conflict checks and follow up on information necessary to complete the matter-opening process. Send engagement-related communications, confirmations and other routine client correspondence. Track outstanding client information, documents and other items needed to move matters forward. Assist clients with routine questions regarding administrative processes, documentation and next steps, escalating substantive legal questions to the appropriate attorney. Real Estate Matter Support Support attorneys and paralegals with the organization and administration of active real estate matters. Assist with preparing, organizing and maintaining transaction and closing files. Coordinate the collection, receipt and distribution of documents associated with real estate transactions. Maintain accurate electronic matter files and ensure documents are properly saved, categorized and profiled. Assist with document preparation, scanning, copying and compilation of closing or transaction materials. Track important matter dates, outstanding documents and administrative follow-up items. Coordinate signatures, deliveries and other transaction-related logistics. Communicate with clients, lenders, title companies, brokers, municipalities and other parties as directed by the legal team. Assist with post-closing and matter-closing activities, including final document organization, retention procedures and file closure. Administrative & Practice Support Provide day-to-day administrative support to attorneys, paralegals and other members of the Real Estate Practice Group. Assist with billing and time-entry questions and coordinate with the Finance team as appropriate. Prepare and maintain internal reports, matter lists and other tracking tools. Help identify incomplete information, missing documentation or other administrative issues requiring follow-up. Provide overflow support to the team during periods of high activity. Work collaboratively with attorneys, legal professionals, Finance and other administrative departments to keep matters moving efficiently. Qualifications Bachelor's degree preferred, or equivalent relevant professional experience. Prior experience in a law firm, real estate, title, banking, professional services or other client-service environment is helpful but not required. Excellent organizational skills and strong attention to detail. Strong written and verbal communication skills. Professional and confident interacting with clients by telephone, email and in person. Ability to manage multiple matters, priorities and deadlines in a fast-paced environment. Strong follow-through and the ability to take ownership of assigned tasks. Sound judgment regarding confidential and sensitive information. Proficiency with Microsoft 365 and comfort learning new technology and business systems.
