Position Overview Fidare Consulting Group is seeking a highly capable and detail-oriented Executive Administrative Assistant / Paralegal (Independent Contractor) to support the Founder and Senior Consultant. This role blends executive support, project coordination, and legal/compliance assistance, making it ideal for a candidate with experience in law firms, corporate legal departments, or regulatory environments. The individual will act as a trusted partner to executive leadership, supporting both day-to-day operations and critical legal, compliance, and documentation workflows tied to client engagements, investor communications, and corporate governance initiatives. Key Responsibilities Executive & Administrative Support Manage complex executive calendars, including client meetings, investor calls, and strategic sessions Coordinate scheduling, communications, and executive priorities Prepare meeting agendas, briefing materials, and follow-up documentation Draft, edit, and format presentations, reports, and executive communications Screen and manage incoming emails and correspondence Legal & Paralegal Support Assist in drafting, formatting, and reviewing: Contracts and agreements (SOWs, NDAs, contractor agreements) Corporate governance documents Internal policies and compliance documentation Support document preparation related to: IPO readiness initiatives Investor relations communications Regulatory and disclosure materials (as directed) Maintain legal document organization, version control, and audit-ready files Coordinate execution of agreements (e.g., DocuSign workflows) Conduct basic legal and regulatory research (e.g., SEC guidance, compliance frameworks) Track key legal deadlines, filings, and contractual obligations Client & Stakeholder Coordination Serve as liaison between the Founder, clients, legal partners, and internal team members Coordinate communications with external counsel, consultants, and stakeholders Assist in preparing client deliverables and documentation packages Maintain a professional and confidential client-facing presence Project & Operational Support Track consulting projects, deliverables, and deadlines across engagements Assist in preparing proposals, SOWs, board materials, and reports Maintain project trackers and workflow systems Support CRM and document management systems Ensure alignment between legal documentation and project execution Travel, Meetings & Event Coordination Arrange executive travel (flights, hotels, transportation, itineraries) Coordinate logistics for client meetings, board meetings, and investor sessions Prepare meeting materials, including sensitive or confidential documentation Support planning of conferences, roadshows, and executive events Information & Confidential Records Management Maintain highly confidential executive, client, and legal documentation Organize digital filing systems with strong version control practices Ensure audit-ready documentation for compliance and governance purposes Handle sensitive financial, legal, and corporate information with discretion Administrative & Financial Support Track invoices, expenses, and reimbursements Assist with contractor agreements and vendor documentation Support internal reporting and operational tracking Assist with special projects and research initiatives Qualifications Experience 6 -10+ years supporting executives, attorneys, or senior leadership Experience in a law firm, corporate legal department, consulting firm, or regulated industry strongly preferred Prior paralegal, legal assistant, or contract administration experience highly desirable Legal / Paralegal Capabilities Experience reviewing and formatting contracts and legal documents Familiarity with: NDAs, SOWs, and service agreements Corporate governance documentation Regulatory or compliance-driven environments Ability to manage legal documentation workflows and maintain audit-ready records Technical Skills Advanced Microsoft Office proficiency (Word, Excel, PowerPoint, Outlook) Experience with document management systems and e-signature platforms (e.g., DocuSign) Familiarity with CRM and project tracking tools Core Competencies Exceptional attention to detail (critical for legal documentation) Strong written and verbal communication skills High level of discretion and confidentiality Ability to manage multiple priorities in a fast-paced environment Proactive mindset and strong organizational skills Professional presence and executive-level judgment Education Associate or bachelor's degree in business, legal studies, or related field preferred Paralegal certification is a plus but not required Engagement Structure & Compensation Contract Classification This role is structured as a 1099 independent contractor position. The selected candidate will be responsible for their own taxes, insurance, and business-related expenses. Compensation Positioning Fidare Consulting Group structures contractor compensation to remain competitive with the Dallas-Fort Worth executive support market while reflecting the flexibility and autonomy of an independent contractor arrangement. Compensation will be determined based on: Depth of executive support experience Consulting/professional services background Availability and responsiveness Ability to operate independently in a high-trust environment Performance-Based Bonus Opportunities Contractors may be eligible for discretionary performance-based bonuses tied to: Exceptional reliability and executive support Project coordination and client service excellence Contribution to firm efficiency and growth initiatives Annual or milestone-based company performance Bonus structure will be defined within the contractor agreement.
