Job Description
NextHome Up North is seeking a highly organized, detail-oriented, and self-motivated Real Estate Operations Coordinator to become the operational backbone of our growing brokerage. The primary focus of this position is coordinating real estate transactions from contract to close while ensuring every file is accurate, organized, and on track for a successful closing. Beyond transaction coordination, this role also helps oversee the day-to-day operations of our office, supports our agents, manages MLS and listing systems, and helps create efficient processes that allow our team to provide exceptional service. ResponsibilitiesTransaction Coordination Coordinate transactions from accepted offer through closing. Review contracts and transaction documents for completeness and accuracy. Review settlement statements and closing documents. Communicate with agents, title companies, lenders, and clients. Ensure transaction files comply with brokerage requirements. Keep transactions on schedule and proactively identify potential issues. MLS & Listing Management Enter new listings into the MLS accurately and efficiently. Maintain MLS accuracy and ensure listing information is complete and up to date. Process data-only listings and sales reporting. Coordinate all new listing setup and backend systems, including MLS-related platforms, lockbox setup, and showing services. Become the office resource for MLS questions, procedures, and best practices. Office Operations Answer phones and assist walk-in clients in a professional and friendly manner. Manage office inventory and ensure supplies are stocked before they run low. Support the day-to-day operations of a busy real estate office. Assist with organization, workflow improvements, and office systems. Help identify opportunities to improve efficiency and streamline processes. Agent Support Be a resource for agents throughout the transaction process. Assist with questions and problem-solving. Help maintain organization and communication throughout every transaction. Hold agents accountable for required documentation and office procedures. What We're Looking For The ideal candidate is: Highly organized and detail-oriented. Self-motivated and dependable. Able to prioritize multiple projects in a fast-paced environment. Someone who naturally takes ownership of their work and enjoys making systems better. Preferred Qualifications Real estate & title experience is preferred but not required. The ideal candidate will have experience with or be comfortable learning many of the following: Microsoft Office (Word, Excel, Outlook) Gmail and Google Workspace Dotloop Flexmls (or other MLS platforms) ShowingTime Sentrilock Social media marketing (Facebook, Instagram, Canva, etc.) CRM or transaction management software Strong computer and technology skills with the ability to quickly learn new systems Schedule Approximately 30 hours per week Monday-Friday Some flexibility with occasional remote work Additional hours may be available during busy seasons Compensation Starting at $20.00 per hour , based on experience Opportunity for growth and increased responsibilities Flexible work environment Supportive, team-oriented culture About NextHome Up North NextHome Up North is a growing, community-focused real estate brokerage serving Houghton Lake, Higgins Lake, St. Helen, Roscommon, and the surrounding areas.
