Summary:
Established, boutique law firm has an exciting full-time employment opportunity for legal assistant/secretary/paralegal. This role provides high-level administrative and litigation-specific support to attorneys. This position maintains positive contact with clients, court personnel, attorneys, and support staff and observes strict confidentiality of client, personnel, and firm matters. 2.
Essential Duties and Responsibilities:
a. Provide general office support to attorneys in litigation with a range of tasks. b. Establish, maintain, and monitor calendaring of litigation deadlines and reminders and key dates—electronic and hard copy. c. Organize data behind legal proceedings and organize files in file management system. d. Gather, maintain, and organize all documents and items including those which may be used throughout the case including trial - electronic mostly and physical. e. Establish, develop, maintain and update client files in the firm's document management system. Retrieve information from files when needed. f. Draft, format, and file pleadings, briefs, and other legal documents in state and federal/ courts. g. Assist with discovery and in court during certain hearings and or trial. h. Update pleadings notebooks, indices, and case files as needed. i. Proofread documents for spelling, grammar and layout, make appropriate changes for accuracy and clarity of final product. j. Scheduling depositions, hearings, and other proceedings and effectuate service of process. k. Communicate with Court staff and opposing counsel as necessary and keep current with filing requirements, court rules, and court procedures. l. Correspond with clients, Courts, opposing counsel, experts, vendors, and third parties verbally and in writing in a professional manner. m. Transcribe dictation from attorneys. n. Comply with strict privilege and confidentiality requirements. o. Maintain attorney time records and accurate billing and revisions to pre-bills. p. Coordinate with billing and accounts payable regarding invoicing. q. Coordinate travel arrangements, meetings, and trial preparation logistics. r. Provide overflow assistance and perform other administrative and secretarial duties as assigned. 3.
Requirements/Qualifications:
a. Proficient knowledge of legal document formatting, including table of contents, table of authorities, track changes, editing PDFs, and conversion. b. General familiarity with court systems and litigation workflow. c. Proficient in
Microsoft Office:
Word, Outlook, Excel, Adobe, PowerPoint etc., and basic computer skills d. Typing speed minimum 90 wpm. e. Excellent organizational and communication skills (written and verbal); ability to work independently and as a team member; strong prioritization, attention to detail, and ability to multi-task and manage and meet deadlines in a fast-paced environment. f. Experience working with time entry systems, e-filing platforms, file opening, and conflicts checks. g. Experience with document/file management systems. Ability to handle confidential information appropriately. h. Training available with exceptional credentials. i. Ability to prioritize and follow through on assignments with little supervision. j. Works effectively without constant and direct supervision or guidance. k. Exhibit sound judgment and the ability to make reasonable decisions. 4.
Environment/Work Conditions:
a. Full-time position, Monday through Friday, 8:30 a.m. to 5:30 p.m. with occasional unscheduled overtime when necessary to meet business needs. b. Professional office environment. c. Largely sedentary role. Attendance at hearings, trials, and or depositions would require ability to lift files and bend/stand as necessary. d. Use of standard office equipment, i.e., computers, telephones, photocopiers, scanner, fax machine and Dictaphone. e. Occasional unscheduled overtime may be required to meet business needs. 5.
