Job Description

We are a well-established regional law firm that prioritizes its employees, fosters a collaborative culture, and is committed to delivering exceptional service to clients. We are currently seeking an experienced Legal Secretary to join our Probate Litigation team in The Woodlands, TX. This is a 100% in-office position supporting attorneys in a fast-paced and sophisticated probate litigation practice. We are looking for a candidate with a minimum of 5 years of legal secretary experience, including recent experience supporting probate matters. The ideal candidate will possess strong knowledge of Texas probate filing procedures, exceptional organizational and communication skills, and the ability to manage multiple priorities while providing high-level administrative and legal support. RESPONSIBILITIES
Draft, edit, proofread, and prepare court filings, correspondence, pleadings, and other legal documents. Handle electronic filing in state and federal courts and ensure compliance with applicable court rules and deadlines. Maintain attorney calendars, schedule meetings, coordinate client communications, and assist with day-to-day practice management. Open new client matters, conduct conflict checks, and maintain accurate physical and electronic files. Organize and manage documents through document management systems while ensuring confidentiality and accuracy. Input attorney time into billing software and assist with billing-related administrative tasks. Transcribe dictation and provide general administrative support to attorneys and legal staff. Coordinate and prepare probate-related documentation and assist with matter organization from inception through resolution. Manage multiple attorneys and competing priorities in a deadline-driven environment.
QUALIFICATIONS
Minimum 5 years of legal secretary experience within a law firm environment. Recent experience supporting probate litigation or probate-related legal matters required. Strong familiarity with Texas probate filing procedures and court requirements. Experience with electronic filing systems and document management software. Strong understanding of estate planning and probate-related documents. Excellent grammar, proofreading, written communication, and organizational skills. High proficiency with Microsoft Office Suite, including Word, Outlook, and Excel. Ability to manage multiple priorities, anticipate attorney needs, and work independently. Strong attention to detail and commitment to producing high-quality work. Professional demeanor with excellent interpersonal and client-service skills.
