Job Description

We are a small, established law firm handling family law, criminal defense, and personal injury matters. Our team is currently two attorneys and two paralegals, and we are looking for the person who will run our front office. Because we are small, this is not a role where you will do one narrow task all day. You will touch nearly every case in the office, work directly with both attorneys, and have real ownership over how the front office runs. WHAT YOU'LL DO
Open the office each morning and serve as the first point of contact for clients, courts, and opposing counsel Answer and route a busy phone line; take accurate, complete messages and follow through on them Greet clients and manage the reception area Schedule appointments, consultations, hearings, and depositions; maintain attorney calendars E-file pleadings and documents with Utah state courts through Green Filing Prepare, format, and proofread correspondence, pleadings, and forms Open, maintain, and close client files; keep both physical and electronic filing organized and current Prepare, edit, and organize PDF documents using Adobe Acrobat (combining, bookmarking, redacting, Bates labeling) Handle mail, scanning, copying, service of documents, and general office administration Support the attorneys and paralegals with case-related administrative tasks as needed Room for growth to be a paralegal
WHAT WE'RE LOOKING FOR
Required Regular, reliable, on-time attendance. You will open the office, and the office cannot open without you. This is an essential function of the position. Proficiency with Microsoft Word and Excel Comfort learning and using Adobe Acrobat and Green Filing (training available for the right candidate) Strong organizational skills and genuine attention to detail — you notice the wrong case number before it goes to the clerk Professional, warm phone presence; ability to stay calm and kind with clients who are having a hard day Clear written and verbal communication, including solid grammar, spelling, and formatting Absolute discretion with confidential information Ability to juggle competing priorities and keep track of what is outstanding without being reminded Preferred Prior experience in a law office or other professional services environment Familiarity with Utah state court procedures and e-filing Experience with legal practice management or document management software

Our clients frequently come to us during divorces, custody disputes, criminal charges, and serious injuries. They are often stressed, frightened, or upset. The right person for this job is someone who can be steady and friendly with those clients while still holding the line on deadlines and details behind the scenes.
