Job Description

Submit accurate and timely claims to public and private insurance providers (including Medicaid, Medicare, and commercial payers). Verify insurance coverage and patient eligibility prior to treatment or services rendered. Monitor claim status, resolve denials and appeals, and follow up with payers to ensure reimbursement. Post insurance and patient payments; reconcile ERA/EOBs and address payment variances. Generate patient statements and manage billing inquiries. Maintain accurate patient account records within the EMR/billing system.

Conduct audits of billing records to ensure compliance and identify discrepancies. Collaborate with clinicians to ensure proper documentation and accurate coding. Stay up to date with CPT, ICD-10, and HCPCS coding changes relevant to OMHC and OTP services.
Manage recruitment:
post job openings, screen candidates, schedule interviews.
Facilitate onboarding:
prepare offer letters, collect required documentation (I-9, W-4, background checks), and conduct policy orientations. Maintain and update personnel files, including licensure, certifications, and mandatory training (e.g., HIPAA, 42 CFR Part 2, OSHA). Track and manage PTO, credentialing deadlines, and employee schedules.

Ensure compliance with labor laws and clinic policies on overtime, attendance, and conduct. Administer employee benefits such as health insurance, PTO, and retirement plans.

Support employee relations, including conflict resolution and performance documentation. Maintain and distribute employee handbooks, policies, and procedural updates. Process bi-weekly payroll and track employee timecards.

Monitor and reconcile accounts receivable (AR) and accounts payable (AP), including vendor invoicing and clinic deposits. Help prepare monthly, quarterly, and annual financial reports. Collaborate with accountants/bookkeepers to maintain accurate ledgers and journal entries. Assist with budgeting, forecasting, and tracking grant or restricted fund expenditures. Maintain documentation for audits and ensure fiscal compliance with Medicaid, Medicare, and DEA regulations. Monitor and manage petty cash, clinic credit cards, inventory, and vendor procurement. Provide financial and operational reports for leadership or board use. Assist other personnel with miscellaneous administrative tasks as needed Support clinic-wide operational workflows, including scheduling and compliance tracking.
