Job Description
Position Overview The Case Administrator/Courtroom Deputy performs a wide range of case administration and courtroom support functions, ensuring the accurate and timely processing of cases and the orderly conduct of court proceedings. Responsibilities include reviewing and docketing filings, maintaining official case records, preparing notices and court documents, coordinating hearings, and supporting courtroom operations in accordance with federal and local rules, policies, and procedures. This position plays a critical role in maintaining the integrity of the official court record and supporting the efficient administration of justice. The position requires the ability to manage multiple priorities in a fast-paced environment while exercising sound judgment, discretion, and attention to detail. The incumbent serves as a key liaison among chambers, the Clerk's Office, attorneys, and the public, providing procedural guidance and ensuring effective communication. The successful candidate must demonstrate professionalism, strong communication skills, and the ability to apply court rules and procedures while maintaining confidentiality and delivering high-quality customer service. Once eligibility requirements are met, an employee can be promoted to the higher grade without further competition. Representative Duties Review, process, and docket pleadings, motions, orders, and other case documents using the court's electronic case management system, ensuring accuracy and timeliness. Maintain official case records from case opening through final disposition, monitoring deadlines and ensuring compliance with federal and local rules. Provide courtroom support by preparing case materials, assisting with hearings and proceedings, and creating accurate minute entries and records of court activity. Coordinate and schedule hearings, conferences, and trials, including managing calendars and notifying parties of court actions and deadlines. Perform quality control on electronic filings to ensure proper docketing, correct event selection, and compliance with filing requirements; take appropriate corrective action when needed. (stated above) Prepare and issue notices, routine orders, judgments, and other court documents in accordance with established procedures and judicial direction. Serve as a liaison between chambers, the Clerk's Office, attorneys, and the public to facilitate case progression and ensure effective communication. Respond to inquiries from attorneys, litigants, and the public by providing procedural information while maintaining confidentiality and avoiding legal advice. Generate and review case management and statistical reports to track case activity, identify discrepancies, and ensure data integrity. Perform other duties as assigned. Required Qualification s High school graduate or equivalent and one year of specialized experience. Specialized Experience Applicants must have progressively responsible clerical or administrative experience that demonstrates the ability to apply rules, regulations, policies, and procedures in a structured, detail-oriented environment. Specialized experience includes reviewing and processing documents for accuracy and compliance; maintaining official records; and utilizing automated systems to enter, track, and retrieve information. Qualifying experience also includes interpreting and applying established guidelines to resolve routine issues; managing multiple tasks with competing deadlines; and communicating effectively with internal and external stakeholders to provide procedural information and customer support. Experience must reflect strong attention to detail, sound judgment, and the ability to handle sensitive or confidential information. Experience using case management systems, databases, or similar automated platforms to process and maintain records is highly desirable. Relevant experience is commonly gained in courts, law firms, government agencies, financial institutions, educational organizations, or other professional office settings where accuracy, timeliness, and adherence to established procedures are critical. Preferred Qualifications Prior court and/or legal experience. A bachelor's degree in a relevant field of study, to include Political Science, Criminal Justice, Business Administration, Public Administration or similar. Ability to speak publicly in a variety of group settings. Experience in managing a heavy call volume. Direct customer service experience involving significant public contact and personal interaction. Ability to independently coordinate, organize, prioritize and complete multiple tasks in a timely manner while ensuring attention to detail.
