The Court Clerk II performs a variety of customer service and clerical duties related to the daily operation of Municipal Court. Work involves access to confidential information and requires a high degree of ethics and professionalism. The Court Clerk II is part of a four-level career progression of Court Clerk I-IV. Key Responsibilities Answers multi-line telephones, and emails to provide general information to the public regarding court procedures, policies and schedules; assists the public in person with fine payments, case related questions, case processing during court dockets, scheduling hearings and continuances; prepares, proofreads and distributes mail, faxes and copying; processes records requests via fax, in person and online requests. Receives and processes payments in person, by mail and online; accurately processes financial transactions regarding payment of court fines, fees, and restitution; processes various types of payments by cash, check, money order and credit card; ensures that all penalties and financials are assessed and accurate in the case management system; balances individual cash drawer daily and runs reports via numerous software systems; collects, processes and maintains log of cash bonds received in Microsoft Excel. Maintains electronic court file by entering court activities into court file, enters disposition, conviction and sentencing data; scans paper documents received into electronic format within the case for a paperless court environment and increased organization; ensures all data entered into case management system is accurate and detailed; schedules cases for appearance on court dockets and notifies all related parties; enters new cases/tickets into case management system from paper tickets; completes all forms for either paper or electronic distribution to other agencies and government entities; reconciles complex dockets that requires strategic decision-making skill and remaining up to date on latest court procedures. Maintains professional communication with other city departments and personnel and various outside agencies; assists Assistant Court Administrator/Court Administrator in dissemination and communication of current policies and procedures.
Qualifications Experience:
Two years of increasingly responsible court experience, or an equivalent level of experience in the criminal justice field is required. Must also possess proficient computer skills including Microsoft Office (Word, Excel, Access, Outlook, and PowerPoint). Demonstrated ability to be adaptable, flexible, and participate in time management, cross training, and leadership initiatives is essential.
Education:
High school diploma or equivalent is required. Associates Degree or college level course work in law/criminal justice or related field is preferred.
Licenses and Certifications:
None required.
Language:
Proficiency in both verbal and written English language is required. Additional proficiency in Spanish and American Sign Language preferred.
