Essential Job Functions:
The Senior Judiciary Clerk is a hybrid position performing both Judiciary Clerk case processing and Courtroom Clerk duties and responsible on a continuous basis for Charles County Circuit Court. Recording proceedings of court activities, assisting the judge with the docket, operating the recording system, preparing paperwork for signatures, and entering the judges findings in the case management system and administering oaths. Provides courtroom coverage, including calling cases, making docket entries, completing, issuing, and distributing forms. Processing juvenile cases, reviewing pleadings, entering new cases and updating existing case information. Helping customers and court related personnel in person and by telephone. Prepare courtroom for daily docket. Call cases, record all court proceedings accurately through the CourtSmart recording system. Distribute any paperwork generated during the proceedings to parties. Organize a list of exhibits, administer oaths, keep an accurate list of witnesses. Generate necessary paperwork. Assist the public, judges, and attorneys. Ability to handle situations as they arise. Process and enter information into the case management system, received electronically and by mail to include, but not limited to court orders, disposition of cases, issuance of warrants, summons, writs, bond authorizations, bond forfeitures, judgments, and commitments. Assist with maintaining and prioritizing workload for the office. Receive, enter, and account for all monies received by the court for fines, court cost and other fees utilizing a computerized register. Provide assistance to customers both in person and by telephone. Customers may include State?s Attorney, Attorneys, Parole and Probation Officers, the public, judges various the court personnel as well as other court-related agencies. Respond to inquires regarding the proper completion of various court related forms and information regarding court policies and procedures Process appeals within allotted the. Adhere to the deadline constraints provided, gather all required documents for that specific appeal, and ensure all parties are notified when the record has been transferred to a higher court for review. Transmit court notices and orders in accordance with established court procedures. Utilize strong interpersonal skills to resolve issues that may arise, ensuring fair and equal practices.Minimum Qualifications:
Education:
High school diploma (or GED equivalent).Experience:
Two (2) years of work experience, to include one (1) year in court operations or in the fields of criminal justice, parole and probation, legal or financial services.Note:
A Bachelor's Degree may substitute the required work experience. A Paralegal/Associates Degree or 60 college credits may substitute the required work experience. A Paralegal Certificate may substitute the required work experience.Knowledge of:
General office practices, procedures, and equipment. Standard legal forms and documents used in the Judiciary. Basic English and arithmetic to include, but not limited to, spelling, punctuation, addition, subtraction, multiplication, and division. Legal terminology and court procedures.Skill in:
Customer service and handling problems tactfully and patiently Typing on a personal computer. Managing priorities to meet critical deadlines while multitasking. Accuracy and attention to detail.Ability to:
Use standard office and business equipment including, but not limited to, personal computers, word processing, spreadsheets, database software, copier, microfilm machine, register, scanner, fax machine, etc. Use and maintain alphabetical and numerical filing systems. Communicate clearly, tactfully, and effectively with judges, the public, police agencies, attorneys, and other court officials and personnel, both verbally and in writing. Understand and abide by departmental rules, regulations, and procedures. Apply various court procedures accurately and effectively for assigned courtroom in accordance with courtroom protocols. Use proper grammar, punctuation, and spelling. Pay attention to detail.Physical Requirements:
Sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.Equipment, Machinery and Tools:
