Job Description

Description This position performs a variety of complex clerical duties to expedite the preparation and accurate processing of court cases, records, payments, and reports for the Municipal Court Division. Duties are primarily performed at the front desk and at evening court and include providing customer support, collecting payments, answering questions, and updating records. Examples of Duties Ensure that all administrative tasks and duties associated with the operations of the department are executed in a professional and efficient manner. Ensure all records, documents, correspondence and related materials are developed, distributed, stored and maintained in a timely and accurate manner at all times. Ensure all inquiries and correspondence to and from the department receive a high level of service and attention. Facilitate answers to questions, and ensure that all inquiries are addressed with an appropriate sense of urgency and direction at all times. Ensure all correspondence originating from the department is precise, timely, and demonstrates a high degree of professionalism and service at all times. Effectively manage confidential information, and ensure that such information is communicated and/or maintained in an appropriate and professional manner at all times. Know and abide by all relevant laws, regulations, policies, and best practices associated with the functional area assigned. Develop and ensure effective, positive relationships within and among the City of Riverside staff, as well as with members of the public/visitors. Uphold and consistently represent the values and mission of the City of Riverside. Represent the City of Riverside in a highly professional manner at all times. Ensure compliance and attention to all organization policies and procedures. Interact with the public in a timely and courteous manner via in person inquiries/calls from pro se defendants, attorneys, and others contacting the court. Prepares warrants, summonses, bond settings, and docket control. Contacts attorneys and other court personnel to resolve technical discrepancies with court filings. Collects fines and keeps an accurate financial record of payments withing the automated case management system. Performs any other related tasks or duties as assigned. Typical Qualifications Education and Experience Guidelines - Any combination of education and experience that would likely provide the required knowledge and abilities is qualifying. A typical way to obtain the knowledge and abilities would be:
Education/Training/Experience:
High school diploma or equivalent required. An Associate's degree, a State Court Certification or paralegal certificate are preferred. A minimum of 3 years of Municipal/Circuit Court clerk experience is required. Experience performing heavy customer service and cashiering duties including processing court case management systems is required. A comprehensive knowledge of municipal court procedures and policies, legal documents, and laws is preferred. Valid driver's license required.
Competencies/Skills:
Must be extremely detail oriented. Must possess basic accounting, spelling, and writing skills. Ability to communicate clearly and concisely in both verbal and written communication, in a tactful and courteous manner with diverse parties. Bilingual speaking and writing skills in Spanish is preferred. Ability to work closely with court personnel and manage/prioritize a high volume workload effectively. Must maintain a variety of complex/confidential records, and reports within a state court management system. Ability to establish and maintain effective working relationships with internal and external stakeholders. Demonstrated ability to support and function in team environment. Ability to work independently and exercise initiative and judgment in the planning and execution of tasks assigned. Ability to demonstrate a high degree of professionalism and effective interpersonal skills at all times. Ability to maintain exceptional customer service by displaying a positive, courteous demeanor during frequent interaction with the public. Demonstrated proficiency with the Microsoft Office Suite. Ability to operate general office equipment such as fax machines, copiers, e-mail and all similar office technology on a regular basis. Must be punctual and timely in meeting all requirements of performance, including, but not limited to, attendance standards and work deadlines; beginning and ending assignments on time; and scheduled work breaks, where applicable.
