The Court Clerk performs all clerical and customer service duties related to the daily operation of the Municipal Court. The Court Clerk will ensure that the general public is provided with prompt and accurate information about the municipal court's services by furnishing facts and directing inquiries to the appropriate personnel for additional information and services. Responsible for generating, administering & filing all court records. Essential Job Functions An employee in this position may perform any or all of the following duties: Process in-person, mailed, and electronic payments; post receivables in court software; maintain records and reconcile reports Provide customer service in person and by phone, answering general and case-related inquiries Schedule cases and maintain court dockets Prepare cases for court hearings and manage court docket materials Operate court software to enter, generate, and distribute court records and documents Record court proceedings and update official case records Serve as liaison between the Municipal Judge, City Prosecutor, Police Department, and other agencies Prepare notices to appear, subpoenas, and other court correspondence Research case information and assist defendants or representatives as needed Complete post-hearing processing, including entry of judgments, sentencing requirements, and required forms Prepare and transmit traffic citation reports, monthly state-required reports, and remittances Maintain accurate court files and records in compliance with applicable laws and procedures Assist with Municipal Court sessions, including docket preparation and courtroom support Assist with Utility Billing Department or other clerical duties as assignedKnowledge, Skills, and AbilitiesAn employee in this class must have the following knowledge, skills, and abilities upon application: Knowledge Court procedures, municipal court operations, and legal terminology Recordkeeping and document management practicesSkills Strong organization and time management skills Ability to manage multiple priorities in a fast-paced environment Effective verbal and written communication skills Ability to remain composed in high-stress situations Abilities Work independently with minimal supervision Maintain accurate and detailed records Establish and maintain effective working relationships with staff and the public Exercise sound judgment in handling confidential and sensitive information Plan and organize court-related activities Minimum QualificationsHigh School Diploma or GED required Two (2) years of administrative or office experience required Municipal government experience preferredProficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) Ability to obtain Notary Public Certification within three (3) months Preferred QualificationExperience in municipal court or legal environment Strong attention to detail and accuracy Bilingual (Spanish/English) is a plusWorking Environment:
Work is performed in a professional office environment at City Hall and includes biweekly evening (night court) sessions. The position involves frequent public contact and requires the ability to manage multiple tasks in a fast-paced setting.Physical Requirements:
This position requires the ability to remain seated for extended periods while performing office tasks. Occasional lifting of office materials (up to 20 lbs) and the ability to operate standard office equipment, including computers, copiers, and printers, are necessary.
