GENERAL DESCRIPTION
The Deputy Clerk I reports to County Clerk and/or Chief Deputy. Employee must be a self-starter, able to prioritize work demands and able to maintain a professional demeanor. Must pay attention to detail and have the ability to multitask quickly and accurately. Must be familiar and practice office rules along with policies and procedures of the department. Must perform a variety of clerical functions with minimal or no supervision. Perform other duties assigned by County Clerk and/or Chief Deputy.
SPECIFIC RESPONSIBILITIES
Responsible to verify information on a variety of documents as assigned; records and prepares them for return when required. Will receive, stamp, file and record documents as needed and requested by Clerk and Chief Deputy Clerk. Sort and distribute mail along with making office deliveries and pick-ups as requested by the Clerk or Chief Deputy. Will assist with the administering of all county and state elections, including early voting and primaries. Learn and use current computer software used in the Clerk's office. Will assist in overflow of work to ensure the smooth office operations. Ability to perform clerical work involving judgement and accuracy. Understand, explain and apply office practices and procedures efficiently. Must be able to operate office equipment and is responsible for reporting any malfunctions to Assistant Chief Deputy Clerk immediately. Present a professional, welcoming first contact to all clients, vendors, and staff by phone, in person, and email. Promptly and accurately respond to requests done in person, by mail, fax or telephone or as requested by County Clerk. Responsible for maintenance of common spaces for appearance and functionality as well as keeping their own area clean and neat at the end of the day. Must exercise discretion at all times and keep all office matters confidential. Issues and records all marriage licenses for filing and reporting to state. Provides assistance to Deputy Clerk II in requesting, in preparing, and mails all jury summons. Assists with petit juries, prepares payment to jury, prepares lists of panels for court and attorneys. Performs related work as required. (Position may not include all the duties listed, nor do examples cover all of the duties, which may be performed or supervised.)
WORK EXPERIENCE REQUIREMENTS
Minimum 2 years secretarial or clerical experience or at the discretion of the County Clerk. Excellent data entry skills and good computer literacy. Able to perform minor mathematical functions, and basic cashiering. Must be bondable and with no criminal history. Bilingual in English and Spanish a plus.
