Full Job Description HACA Docket Clerk General Job Description:
The primary focus of this role is to manage and process electronic court notifications, ensuring accurate and timely dissemination of legal updates to the appropriate team members. The ideal candidate will be integral to supporting our legal operations by maintaining the accuracy, organization, and integrity of court-related documents and workflows. Role inLaw Firm Mission:
The Docket Clerk is critical to ensuring seamless communication and operational efficiency. They directly support the legal team's ability to respond promptly to court actions, comply with deadlines, and advocate effectively for clients.Supervisors:
Supervising Drafting Attorney Key Specific Duties:
Review and process incoming court documents, notices, and filings Calendar court deadlines, hearings, answer dates, discovery deadlines, and follow-up tasks accurately in the CRM and calendar systems Monitor court dockets for updates, filings, hearing notices, judgments, and case activity Ensure deadlines are calculated correctly based on jurisdictional rules and filing/service dates Update case statuses and notes in internal systems such as FileMaker, Raven, or other case management platforms Route urgent or time-sensitive documents to the appropriate attorney, paralegal, or department Coordinate with scheduling teams regarding hearing coverage and attorney assignments Audit calendar entries and docket records for accuracy and completeness Maintain organized electronic case records and document management systems Assist with identifying missing information or discrepancies in court records and escalate as needed Communicate with internal teams regarding upcoming deadlines and case developments Support intake, paralegal, and hearings teams with administrative litigation tracking tasks Track and follow up on pending filings, court confirmations, and proof of submissions Help ensure compliance with internal calendaring procedures and litigation workflows How Success isMeasured:
Ability to maintain the integrity and accuracy of all court-related documents. Ability to ensure notifications are processed correctly and without errors. Meet or exceed deadlines for processing and distributing notifications and documents. Avoids delays. Effective communication with stakeholders. Ability to promptly escalate urgent notifications.
