Job Description

Municipal Court Clerk Department:
Municipal Court Reports To:
Municipal Court Judge and City Secretary Position Summary:
The Court Clerk performs a variety of administrative, clerical, and customer service duties in support of the Municipal Court. This position is responsible for maintaining accurate court records, processing citations, collecting fines and fees, preparing court dockets, assisting the public, and ensuring compliance with applicable state laws, court procedures, and city ordinances. The Court Clerk serves as a liaison between the court, police department, attorneys, defendants, and the general public.
Duties and Responsibilities:
Receive, process, and maintain court records, citations, complaints, warrants, and legal documents. Prepare court dockets, notices, summonses, warrants, judgments, and other court-related documents. Collect fines, court costs, fees, and restitution payments; accurately receipt and reconcile funds received. Enter and maintain case information in the FundView court management system. Assist defendants, attorneys, law enforcement personnel, and the public with court-related inquiries while maintaining confidentiality and impartiality. Schedule court appearances, hearings, and trials. Prepare and submit required reports to state agencies, including the Texas Office of Court Administration, Texas Department of Public Safety, and other regulatory entities. Process deferred disposition, driving safety courses, payment plans, indigency determinations, and compliance dismissals in accordance with Texas law. Issue warrants, capias pro fines, and other legal documents as authorized by the court. Maintain records retention and destruction schedules in accordance with state requirements. Attend court sessions and provide administrative support to the Municipal Judge. Reconcile court accounts and prepare deposits. Ensure compliance with the Texas Code of Criminal Procedure, Government Code, Transportation Code, and other applicable laws. Assist with annual audits and financial reporting as required. Perform other duties as assigned, including but not limited to assisting in the utility and permits department as needed.
Knowledge, Skills, and Abilities:
Knowledge of municipal court procedures, legal terminology, and applicable Texas laws. Knowledge of office practices, recordkeeping, and cash handling procedures. Ability to maintain confidentiality and exercise sound judgement. Ability to communicate effectively with the public, elected officials, attorneys, and law enforcement personnel. Ability to accurately prepare reports and maintain detailed records. Proficiency in Microsoft Office and Outlook. Ability to manage multiple tasks and meet deadlines in a fast-paced environment.

TMRS Retirement Qualifications:
Minimum Qualifications:
High school diploma or GED required. Two (2) years of clerical, administrative, customer service, accounting, or court-related experience preferred. Municipal court experience preferred. Ability to obtain certification through the Texas Municipal Courts Education Center (TMCEC) and maintain continuing education requirements. Valid Texas Driver's License preferred.
Physical Requirements:
Ability to sit for extended periods while performing clerical duties. Ability to lift and carry files and office materials weighing up to 25 lbs. Ability to operate standard office equipment including computers, printers, scanners, and telephones.
Working Conditions:
Work is performed primarily in an office environment with frequent interaction with the public. Occasional evening work may be required to attend City Council meetings.
