Full Job Description Job Summary The Deputy position is revocable by the Circuit Court Judge at pleasure and performs a variety of routine and complex clerical, accounting and administrative duties in processing court cases, keeping official court records and assisting the Register in Probate in administration of standard operation policies per section 59.40 Wis. Stats. This position works with the public, attorneys and other agencies in processing various legal paperwork, maintaining schedules, court appearances and participating in court proceedings, and related work as apparent or assigned. This position also addresses fiscal activities associated with financial and case management data for the Register in Probate including collection of monies, daily deposits, financial reporting and maintaining and providing information on the financial status and obligations of court clients. Responsible for processing and maintaining assigned case types, become familiar with and understand the purpose and implantation of different case types. Become knowledgeable of statutory duties of the Register in Probate/Juvenile Court Clerk and perform such other duties as may be assigned. Entering and processing documents in electronic court record. Interact professionally with the public, judges, court commissioners, attorneys, law enforcement and other agencies/departments. Prepare and send notices of future hearings. Compute filing fee due to inventories filed in estates and guardianships. Verify calculations on Final Estate Accounts. Close estates/guardianships and juvenile case dispositions. Assist the public in person, by phone and by mail in their efforts to obtain information and access legal forms. Clerk in court weekly – taking minutes/notes while court is in session. Monitor payments of Guardian Ad Litem fees. Schedule hearings, prepare annual accounts, certificates of funds on deposit and reports of guardians. Process annual accountings and annual reports of guardians. Transfer/receive cases in which venue has changed. Prepare files for appeal, back-up other Deputy Clerk positions and assist Calendar Clerks during vacations/time off, this includes clerking in court-taking minutes/notes while court is in session. Ability to maintain high level of confidentiality, all other duties as assigned.
