Job Description

Job Summary Small medical aesthetics clinic seeking a warm, driven, detail oriented and highly organized Front Desk Office Manager to be the face of our practice demonstrating enthusiasm and professionalism. If you are passionate about the aesthetics industry and thrive in a fast-paced, client-centered environment, we'd love to meet you! This pivotal role involves managing daily administrative functions, such as answering phones and messages, coordinating schedules, and ensuring a welcoming environment for all that enter. The ideal candidate will excel in multitasking, communication, and office management, creating a smooth and efficient workplace experience. Your leadership will set the tone for a positive office atmosphere while overseeing essential clerical and administrative tasks to support our organization's success. Duties Oversee daily front desk operations, including greeting visitors, checking patients in and out while managing phone and messaging systems Respond promptly to patient messages across all communication channels Manage patient scheduling and appointment bookings using clinic software Coordinate vendor relationships, track inventory to ensure seamless operations, placing orders when necessary. Process patient payments and maintain accurate financial records. Maintain a clean, organized and welcoming clinic environment Uphold office procedures, protocols and patient confidentiality standards Create and post content to social media platforms. Assist in medical or specialized office management tasks as needed to support healthcare or service-related environments. Requirements Exceptional customer service and communication skills Strong organizational and multitasking abilities Ambitious self-starting with proactive and team-oriented mind set Proven experience in office management or administrative roles with supervisory responsibilities. Fast learner who adapts quickly to new systems Flexible availability with occasional extended hours Preferred Prior experience in medical aesthetics or wellness Prior experience managing a medical or specialized office environment Schedule
  • Minimum 20 hours per week
  • Flexibility to stay beyond scheduled hours when needed Certifications (can be obtained after hire)
  • CPR
  • Infectious disease training
HIPPA Pay:
$21.00 - $27.00 per hour
