Job Description

Job Overview The Office Manager oversees the daily administrative operations of the school, ensuring efficient workflow, supporting student enrollment, and delivering exceptional service to prospective students, current students, and staff. This role is essential to maintaining organization, regulatory compliance, and a welcoming first impression of the school. Apply in person at 12844 Highway 65 S, Bee Branch AR, or email you resume to ryan@heoacademy.com Key Responsibilities Office Administration Oversee daily office operations and front desk activities Manage incoming calls, emails, and walk-in inquiries Maintain accurate student records and filing systems Ensure compliance with school policies and regulatory requirements Support leadership with reporting, documentation, and administrative tasks Admissions & Enrollment Support Serve as the primary point of contact for prospective students Guide applicants through the full enrollment process, from initial inquiry to start date Schedule campus tours and send appointment confirmations and reminders Coordinate tour calendars to maximize attendance Follow up with prospective students after tours and initial inquiries Schedule interviews and enrollment appointments Collect, review, and verify all required student documentation Maintain and track leads, applicants, and enrollment data Proactively communicate with applicants to keep them engaged throughout the process Student Housing Management Oversee all aspects of student housing operations Coordinate housing assignments and student move-ins and move-outs Ensure housing units are cleaned, prepped, and ready for each incoming class Monitor housing conditions and address issues promptly Enforce housing policies and maintain a safe, respectful living environment Facility Maintenance & Cleaning Oversight Coordinate building maintenance needs and repairs Oversee cleanliness and organization of classrooms, offices, restrooms, and common areas Manage cleaning schedules and ensure facilities meet school standards Serve as the primary point of contact for vendors and contractors as needed Inventory & Supplies Management Track, manage, and maintain inventory of office and operational supplies Order materials, equipment, and supplies as needed Ensure adequate stock levels to support training programs and daily operations Student Records & Graduation Tracking Verify that student files are complete, accurate, and up to date Track student progress and ensure all graduation requirements are met Coordinate with instructors and leadership regarding student status Assist in preparing graduation documentation and records Student Support & Career Readiness Assist students with resume writing and foundational job readiness skills Support or coordinate mock interviews and career preparation activities Provide general guidance and encouragement to students throughout their training Financial & Administrative Support Assist with invoicing, payment tracking, and basic bookkeeping tasks Coordinate with leadership on tuition payments and financial documentation Prepare regular reports on enrollment, attendance, and office activity Compliance & Documentation Ensure all student files meet regulatory and accreditation requirements Maintain OSHA training records, certifications, and other required documentation Assist with audits and reporting as needed Qualifications Education
  • High school diploma or equivalent required. Associate or Bachelor's degree in relevant field preferred. Experience
  • 3+ years in office management, operations, or an administrative role Organization & Multitasking
  • Strong ability to manage multiple priorities in a fast-paced environment. Communication
  • Excellent written and verbal communication and interpersonal skills Attention to Detail
  • High attention to detail and strong problem solving ability and able to manage multiple duties with minimal supervision Technology
  • Proficiency in Microsoft Office and/or Google workspace; CRM experience a plus Financial
  • Basic bookkeeping or financial tracking experience preferred.
