Job Description
We are a boutique real estate firm in Fayetteville, Arkansas, seeking a reliable and detail-oriented Office Manager / Transaction Coordinator to support our growing team. This person will keep our office running smoothly, and ensure our agents and clients have an excellent in-office experience, while simultaneously managing the administrative role in our real estate transactions. Key Responsibilities
- Manage day-to-day office operations, including stocking office supplies, snacks, and other essentials.
- Answer and manage incoming Office Google Voice calls and text messages.
- Monitor Homes & Spaces Admin e-mail account and manage Google listing and reviews.
- Coordinate building repairs and maintenance, and cleaning with vendors and service providers.
- Routinely tidying and keeping organized all areas of the office, storage, and staging inventory.
- Coordinate with our bookkeeper to make sure all bills are paid and records and receipts organized.
- Greet clients and visitors in the offi ce and direct them as needed.
- Set up the offi ce for team meetings (room readiness, refreshments, printed materials as needed).
- Assist with planning and coordinating details of company events (reservations, invitations, RSVPs, logistics).
- Anticipate office and operational needs and propose improvements to systems and processes. Transaction Coordinator Responsibilities
- Provide comprehensive administrative support for the team including onboarding new agents, keeping policies and procedures up to date, and creating and maintaining fi le organization.
- Create and maintain transaction timelines, monitor contractual deadlines, contingencies, and closing milestones, and ensure all related contracts are properly executed
- Schedule transaction inspections, appraisals, walkthroughs, closings as needed.
- Maintain consistent communication with agents, lenders, title companies, inspectors, appraisers, surveyors, and contractors as necessary to ensure smooth deal fl ow.
- Maintain records in accordance with brokerage policies and Arkansas Real Estate Commission regulations Required Qualifications
- Prior experience in office management or administrative support.
- Strong organizational skills with excellent attention to detail and follow-through.
- High level of reliability, professionalism, and integrity in handling fi nancial and confi dential information.
- Proactive mindset with the ability to anticipate needs and solve problems with minimal supervision.
- Comfortable learning and working with software tools (e.g., Brokermint, basic spreadsheets, email/calendar tools).
- Strong verbal and written communication skills and a friendly, customer-service-oriented demeanor. Preferred Qualifications
- Experience in a real estate, property management, or small professional services fi rm.
- Prior experience with Brokermint or similar real estate brokerage/commission software.
- Experience coordinating real estate transactions as a transaction coordinator.
- Experience coordinating small events, meetings, or office gatherings. Working Conditions
- On-site in our Fayetteville office, Monday-Friday
- Primarily offi ce-based work with occasional light physical activity (moving supplies/furniture, setting up meetings/events).
- Direct interaction with agents, partners, vendors, and clients. Compensation and Benefits
