Job Description
Job Overview We are seeking an energetic and detail-oriented Office Manager to join our dynamic team. We are looking for an organized, dependable, and detail-oriented Office Manager to oversee the day-to-day administrative and accounting functions of our office. The ideal candidate will have experience in office management, bookkeeping, accounts receivable/payable, and working with construction-related documentation. Experience in the landscaping, construction, or commercial contracting industry is strongly preferred. Responsibilities Manage daily office operations and administrative functions Maintain accurate financial records and assist with bookkeeping Utilize QuickBooks Online for invoicing, payments, expenses, account reconciliation, and financial reporting Prepare and process customer invoices, statements, and accounts receivable Assist with accounts payable, vendor invoices, and payment processing Prepare, track, and maintain AIA billing documents and payment applications Manage lien waivers, certificates, supporting documentation, and other construction-related paperwork Track contracts, purchase orders, change orders, and customer documentation Communicate with customers, vendors, subcontractors, and internal staff Assist project managers and company leadership with administrative needs Maintain organized electronic and paper files Help monitor outstanding receivables and follow up on past-due accounts Assist with payroll and employee administrative tasks as needed Prepare reports and maintain accurate records for management Handle general correspondence, scheduling, and office coordination Maintain confidentiality of company and financial information Perform other administrative and accounting duties as needed Qualifications Previous experience in office management, bookkeeping, accounting, or administrative management Strong working knowledge of QuickBooks Online Experience with AIA documents and construction billing is required Experience in commercial landscaping, construction, or a related industry is highly preferred Strong understanding of accounts payable and accounts receivable Excellent attention to detail and organizational skills Strong written and verbal communication skills Ability to manage multiple priorities and meet deadlines Proficiency with Microsoft Office, including Excel Ability to work independently while also supporting a team Professional, dependable, and solutions-oriented attitude Please submit your resume along with a brief summary of your relevant office management, accounting,QuickBooks Online, and AIA billing experience.
Pay:
$16.00 - $22.00 per hour Expected hours: 40.0 per weekBenefits:
